The main job function of the convention services manager/Catering Manager is to ensure that all events run as planned. Convention services managers reserve conference rooms and coordinate services for groups and organizations holding meetings, conventions and other events on hotel grounds. Catering Manager Sells Rooms and Meeting Space also upsells the menus

ESSENTIAL JOB FUNCTIONS

Responsible for all aspects of account management, adhering to corporate guidelines.

Coordinate with all departments to ensure the creation and executive of all VIP amentities and requirements.
·
Assign banquet/meeting rooms based on the needs of clients.
·
Establish rapport with meeting planners while promoting hotel facilities and services. Conduct walking site inspections.
·
Plan and conduct pre & post convention meetings with clients and applicable departments.
·
Broaden productive client base and increase awareness of hotel.
·
Maximize exposure through creative promotion both during and pre /post event.
·
Aggressively solicit and follow up on leads generated.
·
Keep abreast of market trends, competitor's activities and guest/client feedback.
·
Respond to all correspondence to clients.
·
Manage key accounts.
·
Attend, participate and/or lead pre-convention meetings
·
Greet guests during events.
·
Monitor office administrative support personnel.
·
Understand room types, rate and codes.
·
Make room reservations.
·
Conduct site visits.
·
Entertain clients.
·
Maintain complete knowledge of and comply with all departmental policies/service procedures/standards.
·
Maintain complete knowledge of correct maintenance and use of equipment. Use equipment only as intended.
·
Anticipate guests’ needs, respond promptly and acknowledge all guests, however busy and whatever time of day.

Maintain positive guest relations at all times.
·
Resolve guest complaints, ensuring guest satisfaction.
·
Access all functions of computer
·
Answer telephone.
·
Make telephone calls to specified individuals as requested by the Director of Sales and Marketing.
·
Prepare correspondence, memos, proposals, contracts and reports.
·
Document all guest requests/complaints and communicate such to respective personnel for proper handling. Follow up on guest satisfaction.
·
Maintain confidentiality and security of specified hotel information, correspondence, reports and files.
Required Qualifications
·
Minimum 3 years’ experience as a Conference Manager
·
Knowledge of lighting and sound equipment
·
Strong communication and excellent customer service skills
