The Dean's Suite houses the academic and administrative leadership team of the Paul College of Business and Economics (PAUL), a dynamic learning community of over 2,600 students and over 150 faculty and staff. Located within the suite are the PAUL Business Services Center, the Dean, the two Associate Deans and their immediate support staff. The person holding this position will be the first point of contact for anyone interacting with the College's academic and administrative leaders. The position requires professional communication skills, the ability to multi-task and occasional supervision of part-time student workers. Approximately half of the time for this position will dedicated to acting as the Dean's Suite receptionist and administratively supporting the Dean's Office. The other half of the time this position will provide administrative support for PAUL's Communications Director who is responsible for the branding and marketing of the college.

Acceptable Minimum Qualifications

  • High school graduation and three years of administrative experience in a professional setting. The ability to work independently and balance multiple tasks. Effective and professional written and oral communication skills. Computer literacy in Microsoft Office is required.
  • Experience with all of Office 2010. Familiarity with HTML, BANNER and WEBI preferred.
  • Work experience in a college/university environment preferred.
  • Associate's degree and/or additional related training and education preferred.

Act as the Dean's Suite receptionist - Open the office each morning at 8:00 a.m, professionally greet and assist all visitors, answer the phone and direct calls appropriately. Maintain the calendar for the guest parking spaces.

Support the Dean's Office - Assist in coordination of Dean's Advisory Board, be the first point of contact for Dean's Advisory Board, assist in running the Dean's Ambassador Program, maintain the Associate Deans' Outlook calendars and arrange their travel.

Work with the Dean and Director of Communications to coordinate invitations to Paul College events.

Support the Communications Director - Maintain the Paul College Event Calendar, maintain the Director's calendar, arrange the Director's travel, schedule events on and off campus, assist in the execution of PAUL's events, assist in the production of informational materials.

Support the Dean's Office and the Communications Director - Prepare routine and complex correspondence, reports, graphs, agendas for meetings and special events, proposals, materials for presentations, materials for publication, statistical data, manuscripts, curriculum materials, label making, letters of action, materials for special events mailings, phone lists, special letters, mail merges and other administrative support as needed.

Supervising part-time students who assist is the performance of the other duties.
