The Administrative Coordinator will provide administrative support to the Maternal Health Team and senior Jhpiego staff of the Maternal and Child Health Integrated Program (MCHIP) in Washington, DC. MCHIP is the USAID Bureau for Global Health’s flagship maternal, neonatal and child health (MNCH) program which focuses on reducing maternal, neonatal and child mortality and accelerating progress toward achieving Millennium Development Goals. Awarded to Jhpiego and partners in September 2008, MCHIP works with USAID missions, governments, non-governmental organizations, local communities and partner agencies in developing countries to implement programs at scale for sustainable improvements in MNCH.

  • Responsible for complex calendaring for Maternal Health Team
  • Draft and coordinate program consultant and vendor approval process and contracts, technical service contract, inter-departmental and cooperative agreement
  • Coordinate event planning activities for Maternal Health Team, including negotiating vendor contracts, catering, facilities management, coordinating speakers and preparing agendas for program retreats, debriefings, technical update conferences and workshops, etc.
  • Process travel expenses through the SAP system
  • Support the scheduling and coordination of travel logistics for other MCHIP staff
  • Schedule, coordinate, and support meetings
  • Support the development and maintenance of MCHIP filing system and resource library
  • Maintain and Support some aspects of MCHIP’s collaboration and file sharing system (intranet)
  • Provide word processing, document management, and text formatting support for powerpoint presentations and similar documents
  • Take meeting notes and transcribe and distribute notes as needed
  • Work closely with Administrative Secretary to ensure office needs are met in an efficient and timely manner

Required Qualifications:
  • 2+ years administrative experience, preferably in an international development environment
  • Knowledge of administrative processes and approaches and financial reporting and reconciliation
  • Proficiency in writing and editing letters, reports and documents
  • Ability to work independently as well as part of a team in a high volume environment
  • Demonstrated ability to maintain a high level of professionalism and confidentiality
  • Highly organized with attention to detail and ability to prioritize multiple responsibilities
  • Strong decision making skills and results oriented approach
  • Excellent verbal and written communication skills
  • Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups in a developing country environment
  • Ability to interact skillfully and diplomatically with numerous counterparts, both domestically and internationally
  • Proficiency in MS Office
