Position Summary:
Assist the daily operations of the hospital Facilities Management team. The Facilities office is responsible for the implementation of daily operations as they pertain to the hospital environment. The departments include Engineering, Maintenance and Plant Operations.
Under limited supervision, provides administrative and general secretarial support to the Engineering, Maintenance and Plant Operations department. Work is generally straightforward and administrative in nature. Requires a strong understanding and knowledge of company operations, organizational procedures, personnel; work will involve handling confidential and sensitive material. Exercises independent judgment and reasoning within the scope of services provided.
Job Responsibilities / Requirements: May include but are not limited to the following.
Generates updates and maintains Regulatory Documents, Policies and Procedures, Permits, and Licenses of equipment and Department associates.
Maintains Department work Schedule, Vacation Schedule, and Over Time Postings.
Coordinates Department meetings with Vendors, obtains Purchase Requests and coordinates Purchase Orders between the Department and Vendors.
Maintains Inventories of office equipment, supplies and coordinates activities of Department Inventories with Department personnel.
Active participant of Department computerized Maintenance Management System (CMMS), generates and prints Work Orders, Reports, and distributes to the Department Associates.
Multi-task performing activities such as emailing, photocopying, compiling records, filing, tabulating, posting information, and scheduling appointments.
Writes, types, or enters information into computer to prepare correspondence.
Prepares, issues, and sends out receipts, bills, policies, invoices, statements, and checks.
Maintains records, prepares forms, verifies information and resolves routine problems.
Conducts research when necessary.
Operates various office machines.
Opens and routes incoming mail, answers correspondence, and prepares outgoing mail.
Creates and maintains electronic files on the computer and paper-based filing and organizational systems.
Answers phones, transfers calls, conveys messages, and runs errands.
May perform general accounting, and completes Sodexo financial reports according to Sodexo policy and procedures.
May receive, count, and deposit cash; as needed.
May include human resources functions (including benefit administration, personnel action forms, payroll and time processing) for the unit and possibly a district or region.
Applies more advanced skills to the position. Adapts procedures, processes, tools and techniques to accomplish the more complex requirements of the position.
Applies knowledge of department policies and procedures, and utilizes a general understanding of other departments to effectively communicate policies, and/or procedures in a manner easily understood by fellow employees.
Maintains confidentiality of proprietary information.
Qualifications:
A high level of proficiency in MS Office applications (Outlook, Word, Excel, PowerPoint, Visio)
Experience with Microsoft project manager preferred
High School Diploma or GED;
Associates Degree on related studies preferred
Related Work Experience 5-7 years related work experience
No supervisory/managerial experience required but preferred
Working Conditions:
Work is generally sedentary in nature, may require occasional carrying, maneuvering and lifting in order to complete duties of the position. Frequent hand/eye coordination is used to operate keyboard and related office equipment. Work is performed in an area that is adequately lighted and ventilated
