This position will perform the various duties involved in office management, as well as providing administrative support to the growing Eastern US team. This is an exciting opportunity for the right individual to join a high-growth software company with an office based in Cary, NC. The responsibilities in this role will vary by day, hour and minute. Responsibilities:
Provide front desk coverage (greeting visitors and directing to meeting rooms, accepting packages, phone coverage, etc.) as necessary
Handle administrative tasks of confidential nature requiring initiative and judgment on a regular basis
Provide project management expertise for long and short term initiatives and/or events
Group meeting scheduling including travel, facility and catering coordination
Assist with travel itinerary planning for designated individuals; negotiate group discounts where feasible
Provide administrative/logistics support for designated individuals inclusive of individual/corporate expense management & reconciliation
Manage all facilities related matters; position to be the point of contact with building management
Manage facility access security and provision cards / keys where needed
Manage external vendors (handy man, painters, electrician, janitorial, etc.) to provide necessary services based on management needs
Maintain/purchase office supplies including food/beverage; maintain a clean, functional and well organized office environment
Coordinate IT service(s) availability including Moves/Add/Changes of IT assets (printers, workstations/docks, etc.)
Maintain Company employee contacts sheet, seating charts, org charts and photos
Assist the Executive Administrative team with special projects as needed
Qualifications: Required: Minimum of 2 - 3 years of administrative assistant experience in a fast-paced environment
Advanced knowledge of Microsoft Outlook is essential, as well as strong working knowledge of Microsoft Word, Excel, PowerPoint, and Visio.
Participates in assignments with an eyes wide open approach; suggest enhancements, optimize existing process, and acts as a change agent
Provide extraordinary customer service and problem solving skills
High levels of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
Detailed planning, time management and organizational skills are required
Exceptional written, verbal, and interpersonal communication skills
Positive, proactive and able to always exercise great judgment
Ability to interact with many different personality types is important
Must be able to work well under pressure while meeting deadlines
