The Incumbent will serve as Administrator for the Department of Neurology Academic Trainee Section, reporting to the Director of Education.
Act as the primary signatory for the department to activate all appointments, stipend award and other payments to all academic apprentice titles in Department of Neurology
Serve as department liaison with the UCLA Graduate Division, Campus Human Resources - Benefits Office, and Campus Payroll. Serve as primary internal department liaison with Neurology personnel and fund management offices regarding academic apprentice issues.
Oversee all visa processing and coordinate for Department of Neurology - including faculty, staff and trainees.
Manage payroll, personnel & benefits issues, visas, etc. for all academic apprentice titles. Oversee entry of personnel/payroll data into Employee Database (EDB) including: appointments, separations, benefits selections, addresses, and Sure-pay completed by program staff.
Using PAN system, audit entry of personnel/payroll data into Employee Database (EDB) including: appointments, separations, benefits selections, addresses, and Sure-pay completed by program staff.
Oversee and approve preparation of all materials required for pre- and postdoctoral fellowship appointments and stipend payments.
Perform final review of all documentation related to visa applications and renewals for foreign student trainees before sent for Department Chair's signature.
Oversee internal departmental process for obtaining authorization on supporting documents for personnel/payroll actions including fund transfers, fund source changes, and reappointments.
Job Qualifications Demonstrated skill in dealing with confidentiality and sensitive information with discretion. Working knowledge of University's Visa procedures and requirements. Demonstrated ability to work with frequent interruptions, conflicting deadlines and heavy workload. Excellent organizational skills. Knowledge of VGR appointment policies and procedures. Knowledge of GRS appointment policies and procedures. Knowledge of Work study student employee rules and regulations. Knowledge of work-study policies and procedures. Knowledge of DGSOM Volunteer requirements and procedures preferred. Ability to adhere to established attendance and punctuality rules. Ability to run errands to campus departments and University offices in Westwood. Ability to work independently as well as part of a team. Ability to deal with difficult/sensitive situations and to demonstrate appropriate discretion. BA or BS degree in related field preferred.
