Materials Engineering has an opening for a full-time Program Coordinator. The Materials Science and Engineering (MSE) Program is focused on enhancing materials science and engineering research and education at the University of Colorado Boulder by leveraging campus-wide resources, expertise and facilities, promoting impactful research efforts which enable students to begin a distinguished career in the material sciences field.
The Materials Science and Engineering Coordinator supports the CU-Boulder College of Engineering and Applied Science (CEAS) by providing contract, grant, accounting and budgetary oversight, coordination and technical support, as well as developing and maintaining all MSE program operations. The Coordinator interacts with a diverse population, coordinating activities with faculty and students and addressing all concerns regarding personnel management. Acts as the liaison between the program and other campus offices and outside affiliates, produces correspondence on behalf of the program, and supervises student employees. The MSE Coordinator also serves as the Assistant to the Materials Science and Engineering Program Director.

Job Responsibilities: Manages the new student recruitment process including coordinating recruitment events, managing student applications and admissions and reviewing eligibility credentials. Acts as a liaison between the Office of International Student & Scholar Services (ISSS) and visiting foreign faculty, scholars, and students, initiating visa documentation, providing information and guidance to ensure and maintain legal status within this country. Educates faculty and staff about updated administrative policies. Compiles data, reports findings and makes recommendations to Director regarding selections for admission to program. Facilitates faculty search activities, screens resumes and applications of prospective new faculty, and reports findings to the hiring committee, assuring compliance with hiring procedures and requirements. Coordinates seminars for invited applicants, arranges travel and interview agendas, and works with the Dean's Office on offer letters and relocation package details. Maintains employee payroll files for Research Associates, Professional Research Assistants, student assistants, and temporary aides. Identifies and tracks all payroll-related adjustments and journal entries, and processes payroll expense transfers. Tracks deadlines and expiration of funding sources and advises Director of approaching end dates, ensuring that records are updated in advance of expiration.
MSE Financial Operation (30%)
Plays an active role in strategic financial planning and tracking for the program and makes recommendations to the Director regarding budget matters. Balances and analyzes all general fund, auxiliary, grant and gift accounts to ensure accuracy in posting of revenues and expenses. Independently analyzes expenditures and budget discrepancies and advises Director of surpluses, shortfalls, approaching deadlines and recommendations to ensure appropriate financial operation. Resolves all funding issues, referring to budgets and terms and conditions of each contract/grant to make financial recommendations on behalf of the program. Oversees monthly procurement card processing and confirms that charges conform to university and program guidelines.
Office Management / MSE Website Administration (25%)
Effectively manages all aspects of MSE program office, identifying the need for new or revised policies and procedures, then developing and implementing these guidelines to ensure effective and efficient performance of duties and work flow. Supervises student assistants and/or temporary aides. Responsible for MSE website administration, to reflect updates and changes in the program. The website is an important recruitment requiring frequent updates and must follow branding guidelines established by the University.
Support to Materials Science and Engineering Director (10%)
Assists the Director with organization of the program's administrative structure, recommending changes and updates and implementing these modifications. Maintains the Director's calendar and manages access to the Director. Schedules and facilitates meetings involving internal and external resources and tracks the timely completion of action items arising from these collaborations. Plans global travel itineraries, arranges attendance to domestic and international conferences and coordinates speaking engagements. Processes travel expenses in accordance with travel and expense policies.
This position is supervised by the Materials Science and Engineering Director. This position supervises student assistants and temporary aides hired to assist the MSE program.
Required Education/Experience/Skills (Minimum Qualifications)
- A bachelor's degree and at least one year of professional experience in finance, program management, or office management
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint
- Ability to represent the university in a professional manner with tact and diplomacy
- Strong oral communication skills
- Excellent interpersonal skills
- Excellent organizational skills
- Ability to work independently as well as on a team
