DUTIES

This position will oversee a wide range of administrative and executive support related tasks with the ability to work independently with little supervision. The Executive Administrative Assistant must interact with executives and staff, at all levels, in a fast-paced environment while remaining flexible, proactive, and resourceful while exhibiting a high level of professionalism.

Duties and Responsibilities: The Executive Administrative Assistant must be able to perform the following tasks, among others:

  • Represent the CEO and executive leadership team in a professional manner in person, phone conversations, and written correspondence.
  • Manage all executive-level communications for CEO
  • Manage calendars and schedules for the executive team, with open levels of communication to ensure consistent and immediate contact, if needed.
  • Maintain consistent and continual presence at the front reception area to oversee external visitors. Presence at the reception area is fundamental to this position.
  • Maintain strict confidentiality and discretion. This position is privy to multiple types of sensitive information and maintaining confidentiality of all company-related information is an ongoing requirement.
  • Courteously greet visitors, determine their needs and direct them to the appropriate person/or office.
  • Answer phones and route calls as necessary.
  • Provide general administrative support for Shamrock employees and/or senior management personnel.
  • Schedule meetings, conference rooms, and coordinate calendars as necessary.
  • Price, coordinate, and set up all travel, hotel and car reservations.
  • Manage relationships with company vendors including office supplies, break-room supplies, office equipment, furniture, plant vendor, cleaning and maintenance.
  • Coordinate monthly birthday announcements and events.
  • Oversee corporate event planning such as holiday parties, hosted luncheons, etc.
  • Other duties as assigned.
QUALIFICATIONS

Minimum Qualifications:
  • 5+ years of experience in an executive level support role.
  • Excellent interpersonal skills and professional demeanor.
  • Strong verbal and written communication skills, and excellent editing and proofreading skills.
  • Attention to accuracy and detail in all aspects of responsibilities.
  • Proficient computer skills, particularly with Microsoft Office, Word, Excel, and PowerPoint.
  • Minimum typing speed of 50 wpm, and experience scanning and filing documents.
  • Knowledge of booking travel, financial budgeting, and organizational protocols.
  • The ability to follow directions, sometimes from multiple sources, and determine priorities.
  • Flexibility and a willingness to perform other reasonable duties as requested.
  • Willingness and ability to stay late or work occasional weekends.
