Performs advanced administrative assignments for Global CIO. Responsibilities include screening calls, making travel and meeting arrangements, preparing reports and financial data and customer relations. Requires strong computer and internet research skills. Also requires flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
MAJOR DUTIES & RESPONSIBILITIES Duties may include, but are not limited to:
Reviews and answers email and other correspondence and inquiries and determines within established guidelines if executive action is required. Refers routine matters to appropriate parties for action and follows up to ensure proper disposition.
Communicates with administrative and line management to gather and convey information pertaining to Global CIO”s office and responsibilities.
Schedules and organizes activities such as meetings (via Outlook), travel, conferences and department activities.
Answers telephone calls and tactfully handles inquiries and/or refers to appropriate party.
Coordinates and makes notifications and arrangements for travel reservations and appointments.
Prepares and processes expense reports for superior.
Prepares reports, manuals, agendas, correspondence and memoranda.
Maintains sensitive files and records.
Performs a wide variety of normal secretarial, administrative, and clerical details for letters, memos and reports.
Operates a variety of general office equipment.
Interfaces with administrative staff from within or outside the function.
Compiles and edits monthly status reports (PowerPoint) and report cards (Excel).
Maintains records, statistics, and reports regarding personnel changes, etc.
Administers programs, projects, and/or processes for the Global IT function.
Administrative liaison with resources within and outside the company related to purchasing, personnel, facilities/floor plans and operations.
May coordinate or disseminate administrative work to other administrative staff within the organization.
DESIRED QUALIFICATIONS/SKILLS:
10+ years of demonstrated achievement in executive assistant functions and related experience.
High degree of professionalism, initiative and confidentiality.
Excellent knowledge of PC and:
Expert in Outlook calendar function
Strong ability with other components of Outlook plus Word. Powerpoint. Excel and Access
Working knowledge of Sharepoint a plus.
Strong verbal and written communication.
Proven ability in planning, prioritizing and organizing diverse workload.
Effective interpersonal skills to be capable of working with all levels of office personnel.
