PO SITION SUMMARY:
Serves as confidential, executive secretary to the Vice Provost and is a team member of the Office of the Provost.

EXAMPLES OF DUTIES:
1. Serves as confidential secretary to the Vice Provost preparing correspondence, reports, and other documents.

2. Schedules appointments, meetings, and luncheons; maintains heavy daily calendar; makes travel arrangements and conference accommodations. Organizes daily meeting folders and appointments.

3. Arranges faculty adjunct interviews and processes their evaluations for official hiring.

4. Provides coordination and administration in conjunction with the Office of the Provost regarding visiting administrators and faculty, council and committee meetings, and special events.

5. Assists the Vice Provost in administering the Fulbright Program, the Undergraduate Research Program and other areas in the Vice Provost’s span of care.

6. Provides administrative support for the undergraduate academic integrity process, including letters to students and coordinating review committee hearings.

7. Coordinates all aspects of undergraduate academic grievances, including hearings.

8. Provides support to faculty committees as requested by the Vice Provost. Prepares minutes and other materials as needed. Maintains Vice Provost’s committee and council files and associated tracking documents.

9. Monitors budget, prepares check requests, purchase requisitions; maintains office supplies and equipment. Keeps records of expenditures with duplicates of receipts. Processes professional memberships as needed.

10. Opens, distributes, and responds to office mail. Maintains office files.

11. Assists the Executive Secretary to the Provost and others in the team with special projects as needed.

12. Performs other duties related to the job description as requested by the supervisor.

POSITION QUALIFICATIONS:
Minimum Education:Bachelor’s degree.

Minimum Experience:Five – seven years of secretarial experience with increased responsibilities.

Skills: Excellent Word for Windows word processing skills. Type 60 wpm with high degree of accuracy. Good oral and written communication skills, group communication skills, with ability to proofread and edit materials. Experience with desktop publishing protocols, spread sheets, scanning, FAX, Photoshop, digital camera. Well organized, self motivated, reflective and innovative thinker.

Mental Demands: Able to work under pressure and meet deadlines. Ability to manage a number of tasks, projects and appointments concurrently. Can exercise

independent judgement and discretion, and maintain confidentiality. Interacts effectively with faculty, staff, students and the general public. Ability to learn procedures and retain information. In agreement with the purpose and mission of Azusa Pacific University in providing a Christian-based higher education for its students.

Physical Demands:Intermittent sitting and standing. Requires repetitive wrist and finger motions at keyboards. Hearing and speaking on the telephone. Able to conduct business at other offices on and off-campus. Ability to lift, pull, grasp, bend to lower file drawers and reach to top of 5-drawer file cabinet. Able to lift up to 20 lbs. occasionally.

Visual Demands:Computer monitor, reading.

Environment:Pleasant office setting, comfortable temperature.

POSITION:Full-time temporary position.
