Ocean Import CoordinatorSummary:Coordinates air import shipments ensuring that service commitments are achieved and maintained in accordance with client requirements and company objectives. To accomplish these tasks with the goal of maximizing profitability for Hellmann.Essential Duties And Responsibilities: Arranges imports and Customs clearance of cargo with required carriers, trucking companies, customs brokers, Hellmann offices, and/or other applicable parties. Ensures clients, Hellmann partners or other required parties are kept fully informed of transport arrangements and status through regular tracing and pre-advising of shipments. Communicates as required with applicable parties to ensure service requirements are achieved. Liaisons with sales personnel to ensure quality services are achieved and maintained. Negotiates most favorable buying rates with approved vendors. Maintains professional phone manner internally and externally. Prepares, issues, and submits necessary documents to ensure satisfactory importation of cargo (this may include, but not be limited to; AWB's, arrival notices, delivery instructions, pre-advices, and releases.) Prepares all documents necessary to complete customs clearance process. Issues shipping instructions to Hellmann partners where necessary. Receives rate requests. Prepares and issues rate quotations externally and internally as required. Provides advice to clients concerning, but not limited to; terms of delivery and payment, air insurance, air services, transport alternatives or other matters affecting client needs. Keeps clients informed and maintains knowledge of market trends and changes in service options. Ensures invoicing of rendered services is completed accurately and in a time frame consistent with company policy. Checks clients' credit status prior to release of cargo. Ensures accurate distribution of costs to promote same in projected gross profits. Conducts timely and accurate approval of vendor invoices. Assists whenever possible with A/R on customer disputes. Performs other duties as assigned. Supervisory ResponsibilitiesNone.

Education And/Or Experience Associate's degree (A.A.) from a two-year college or technical school; or two to three years related experience in brokerage and custom compliance; or equivalent combination of education and experience. Completion of any industry related course is an asset. Minimum two to three years in the freight forwarding industry. Language Skills Ability to read, analyze, and interpret the most complex documents. Ability to respond effectively to the most sensitive inquiries or complaints from customers, regulatory agencies, or overseas agents. Ability to effectively present information and respond to questions from groups of managers, clients and customers. Mathematical Skills Ability to calculate figures and amounts such as freight rates, discounts, interest, commissions, proportions, percentages. Ability to apply concepts of basic accounting. Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Other Strong communication and organizational skills, strong attention to details, ability to work effectively under pressure, ability to solve logistical problems as necessary. Team player within company. Multitask oriented and able to work in a fast environment. Professional and courteous phone manner. Knowledge of customs forms and power of attorney. Proficient in world geography, import documentation, and Incoterms. Basic keyboarding skills. Physical DemandsWhile performing the duties of this job, the employee is: Frequently required to stand, and walk. Regularly required to sit, use hands, handle, or feel, and talk or hear. Occasionally required to reach with hand and arms. Specific vision abilities required by this job include close vision.
