Our Merchandise department is shifting and expanding in some exciting ways that have created two positions for Administrative Assistant to Buyers of Kids products and Books. The Administrative Assistant will support the buyer in administrative and data-entry duties towards fulfilling the Buyer’s accountability for successful planning, management, and financial performance of their product department.

Essential Duties and Responsibilities:
Entry of data into promo plan/worksheet/Access database and AS400 as directed by buyer – timely & accurate

Communicate with stores, vendors, internal home-office individuals / departments as directed by the buyer

Partners having the timely and accurate information needed to be successful. “No surprises”.

Vendor contact which correctly represents the intentions of the buyer, and which correctly documents the intentions of the vendor back to the buyer.

People’s communication needs met and corporate assets protected.

Corporate phone / communications / confidentiality standards maintained

Basic departmental reporting – run and distribute

Knowledge, skills & abilities:
Ability to work flexible hours.

Strong written and verbal communication skills.

Excellent facilitation/presentation skills.

Strong interpersonal skills.

Excellent planning, organizational, coordination and time management skills.

Computer literacy in Microsoft Office – Word, Excel, Access and Outlook.

Minimum experience:
Demonstrated ability to handle multiple projects and details simultaneously

Requires self-direction, tact, diplomacy and a clear, courteous and professional manner when dealing with the others

Must demonstrate effective oral communication skills and the ability to work cooperatively with staff inside and outside of the department
