Facilitate communications and liaise within the departments and between the other divisions/schools/institutes and academic units at Clarkson.
  • Assist in the development, implementation and coordination of the long and short term goals of the division.
  • Coordinate, arrange and participate in interdisciplinary activities, programs and projects ,both internally and externally, for the division. This may include all departments on campus, the associated colleges, faculty and students from universities worldwide, alumni, seminar speakers, industry, foundations and the general public. This requires working closely with University staff, administrators, faculty, alumni, students and other individuals.
  • Organization of functions including, but not limited to, arranging for campus visits, tours, interviews, steering committee meetings and seminars; maintaining department and related web sites, and assisting with other sponsored functions.
  • Coordinate publishing and distribution of the division Annual Report.
  • Compile statistical data for the preparation of reports and analysis.
  • Oversee and maintain the day to day operations of the division.
  • Prepare, maintain, and distribute meeting minutes.
  • Handle incoming calls with professionalism and route appropriately.
  • Maintain project notes, renderings, floor plans, etc for use in team planning meetings.
  • Performs complex and confidential administrative functions including developing and managing written correspondence. Respond to routine external correspondence. Ensure quality memos, purchase requisitions, payment requests and other department forms and documents.
  • Maintain confidentiality of all university, personnel and research matters.
  • Manage projects for the division and serve as a project manager as appropriate.
  • Ability/knowledge to make independent decisions.
  • Demonstrate superior judgment and leadership capabilities.
  • Ability to deal tactfully with sensitive issues.
  • Ability to function under pressure, while managing multiple concurrent projects and deadlines.
  • Guide departmental staff in a variety of actions to include but not limited to employment searches such as developing request, supporting faculty and staff, hiring, scheduling, assigning work and provide training as needed.
  • Perform other related duties incidental to the work described therein

  • Minimum Qualifications:

    Education/Experience:
    • Associates Degree or seven to nine years related experience with progressive responsibility in a fast paced office setting in lieu of Associates Degree.
    • Excellent customer-service and interpersonal skills. The ability to establish and maintain effective working relationships with diverse constituencies and accomplish written and oral directions as necessary. Must have the capability to plan, coordinate, analyze, execute and document specific administrative and management functions with long term goals in mind.
    • Ability to function as part of a team, handle multiple priorities and posses strong time management skills.
    • Ability to work effectively under pressure with no supervision and possess sensitivity for staff, student and faculty needs.
    • Demonstrate commitment to diversity and the ability to serve as a spokesperson for the mission and values of the institution.
    Skills:
    • Microsoft Office Suite expertise
    • Excellent oral and written communication skills
    • Effective time management skills/ability to meet deadlines while handling competing priorities
    • Ability work efficiently on University software programs

    • Must have enthusiasm for the job, a customer service approach and be willing to work within a team environment.

    • Bachelors Degree
    • 10 plus years’ experience
    • Knowledge of university policies and procedures, organization, practices and protocol.
