Assist the Global Communications team including the global head of communications (VP of Global Communications) and the VP of Corporate Communications with daily activities and functions, maintain office operations, prepare documents/presentations, and provide complete administrative support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Read and analyze a significant quantity of news from a wide variety of print, online and broadcast media scanning for Mylan and industry specific news. Distribute relevant articles, using careful judgment, via email and intranet posting in a timely manner. Respond to time-sensitive incoming phone calls, particularly calls from senior leadership, the media and customers with concerns, relaying messages immediately.
Manage the administrative, data entry and collection aspects of the department’s budget and forecast process. Collect and consolidate monthly forecast data and input into financial planning system. Analyze current and past project budgets, prepare and justify budget requests and track expenses against allocated funds.
Handle daily administrative support for Global Communications senior management, and their team members as appropriate, including calendar management, presentation creation, domestic and international travel coordination and scheduling, file management and expense reporting.
Manage renewal and initiation of corporate subscriptions to various publications and enterprise licenses for the company.
Coordinate review of legal contracts for the department. Enter data into Legal Contracts Management system, provide additional information to the Legal Department when necessary. Liaise with Legal and Mylan business partners as well as outside company and monitor status of contract, invoicing and payment requests.
Organize all aspects of business travel including air, hotel and car service reservations.
Support internal distribution of employee communications.
Maintain print and electronic media libraries and archives for the company and department.
Fulfill requests for communications materials such as fact sheets, brochures and presentations.
Coordinate FedEx shipping requests and order office supplies.
Serve as project manager for various projects, large and small.
Perform other duties as assigned.
Must possess knowledge of how an efficient office functions. Must be able to maintain a high level of confidentiality and professionalism.
Must possess superior written and verbal communication skills, excellent interpersonal skills, and the ability to multitask. Must be comfortable working in a fast paced environment. Must have advanced computer skills, including proficiency in Microsoft Office Suite (Word, Excel and Power Point). SAP experience, required. Lotus Notes experience, preferred.
Minimum of a Bachelor's degree (or equivalent) and minimum of 4 years of experience. However, a combination of experience and/or education will be taken into consideration.
