Under the direction of the Business Office and Information Systems Manager, the Customer Service Specialist is primarily responsible for answering telephones, greeting guests and providing administrative support to the Home Health staff.
Education, Experience and Professional Licensure
High school diploma, including 2 years of secretarial preparation, required; Minimum of 2 years clerical or reception experience required
*Prefer past medical experience and terminology.
Knowledge, Skills and Abilities
Knowledge of office management practices and procedures; Strong interpersonal and communication skills; Good telephone skills; Word processing skills with a working knowledge of Excel, Word, and basic computer software; Flexibility to meet staffing requirements; Ability to perform the essential functions of this job and to meet its functional and environmental requirements

Key Responsibility Areas
Answers telephone and routes calls to staff; Greets and directs visitors; Responds to caller/visitor questions; Places/removes phones from service; Notifies communications of who is on-call
Retrieves and distributes incoming faxes; Faxes referrals and infusion paperwork to staff; Processes incoming lab reports; Maintains equipment sign in/out logs; Organizes on-call logs; Tracks and records staff absences and PTO hours; Processes approved time off requests; Orders, receives and maintains office and kitchen supplies; Reconciles vendor therapy invoices; Prepares departmental orientation packets; Maintains agency bulletin boards; Sends employee birthday cards, sympathy cards and agency holiday cards; Initiates work orders and follows-up on calls to cleaning staff, communications, etc.
Assists with the orientation of new personnel; Distributes and processes patient satisfaction surveys; Processes department accolades/thank you notes; Assists management with special projects; Attends and participates in department meetings
