About the Position

With dual reporting to the Director of Advancement Services of Development & Alumni Relations and the Vice President, Strategic Initiatives/Chief of Staff of the Polytechnic Institute of NYU, the incumbent manages the organizational and logistical planning and execution of the Institute’s special events including annual commencement exercises in close collaboration with Student Affairs and NYU’s Office of Special Events, fundraising cultivation and stewardship events, and other high-level events expected to total 20 in the next year including some that may take place in or involve foreign countries.

The Special Events Manager is responsible for identifying, developing, and implementing major special events to expand fund-raising opportunities, media attention, academic visibility, and public appreciation for the institution. The incumbent will have responsibility for managing ongoing high-level showcases, such as the annual Leadership Forum, commencement exercises, as well as development of new events that support overall institutional, especially fund-raising goals.
Responsibilities

Oversee arrangements both locally and on-site at event venues including independently investigating venues, service providers and vendors to support planning recommendations

Conduct contract negotiations and act independently but in alignment with the Institutes policy and procedures in contracting services and negotiating relate fees

Develop policies and plans to create a more systemized approach towards the implementation of regular high-level events

Manage annual NYU-Poly commencement exercises including a large team of NYU-Poly volunteers, as well as coordinating NYU-Poly’s participation in NYU’s annual commencement exercise and related activities (Grad Alley)

Develop, allocate and implement event budgets, plus additional special project budgets as directed by the Vice President of Strategic Initiatives/Chief of Staff or Director of Advancement Services

Maintain contact and activity data and produce reports from Razor’s Edge

Work with the communication and marketing teams to develop and implement highly-dynamic collateral materials and manage media relations, and web and media teams to produce videos, power point presentations, and webcasts or events

Other duties as assigned

Education Requirements

Bachelor’s degree or the equivalent combination of education and relevant experience required

Experience Requirements

Four to six years of related experience required

Strong database management skills and familiarity with technology

Demonstrated experience in major international academic events, and media/public relations

Excellent written communication and language skills a must

Exceptional interpersonal skills and demonstrated use of tact and discretion in dealing with a wide range of academics and professionals required

Supervises staff program coordinator and manages students and volunteers

Ability to simultaneously identify, manage, and implement diverse and multiple tasks related to strategic high profile events

Experience in development and fundraising

Experience in contacting high-level national and international speakers, and interacting with global leaders and institutions to develop and organize events and related programming
