RESPONSIBILITIES: Manages the administrative aspects of an office (or department) by performing complex secretarial and administrative duties, responsible for relieving official of operational details and assuring efficient office operation. Manages the daily operations of the office which may include supervising support staff and students. May analyze operating procedures, cost reductions, operating practices, record keeping systems, forms control, office layout, personnel and budgetary requirements, and performance reports. Advises others on processes, procedures, and services. Provides travel forms for Vice President for Advancement signatures in a timely manner. Composes correspondence for signatures. Communicates and assists faculty and administrators on University policy matters. Gathers information and prepares various reports, correspondence, and memorandums; researches and resolves issues. Prepares special or confidiential reports and assists with special events, projects or surveys. Assumes responsibility for small projects and oversees such projects through to completion. Maintains files and appointment calendars. Monitors, reconciles and assists in the preparation and maintainence of the departmental budget. Responsible for departmental purchases and invoices. Must have knowledge of University requisiting and purchasing procedures. Provides administrative support for the Cameron University Foundation, which includes but is not limited to, scheduling meetings, records and transcribes minutes of meetings to be placed in agenda books, prepares and distributes agenda books for Foundation Members and Board of Directors Meetings, orders appreciation gifts as required, which includes layout of inscriptions on gifts. Facilitates special events as needed for the Cameron University Foundation. Order Cameron University plaques are needed. Manages operational budgets for the Cameron University Foundation Accounts. Prepares and submits for payment Requests for Payments on Foundation Accounts. Maintains reservation lists for events. MINIMUM QUALIFICATIONS: Graduate of a standard high school or equivalent. Have the ability to coordinate complex tasks. Have the ability to type fifty (50) word per minute. 5+ years of experience to administrative and/or project management and/or training programs. Proficient in the use of PowerPoint, Excel, and Microsoft Word and Outlook. Have thorough knowledge of spelling, punctuation and gammar. Demonstrated ability to work in web based computer programs creating processes/procedures and improve efficiencies with an office environment. Ability to hand multiple tasks in a variety of areas.
PREFERRED QUALIFICATIONS: Experience or knowledge of related functions. Experience or knowledge of Cameron University procedures, including Banner. Teamwork and leadership experience. Demonstrate ability to work in web based computer programs, creating processes/procedures and improve efficiencies within an office environment.
SALARY RANGE: Commensurate with experience.
