We are seeking an Administrative Assistant Irvine, CA. The Administrative Assistant is often the first communication point of the department and should demonstrate exemplary service. We are looking for an extremely organized self-starter who has had previous experience in the multifamily construction industry.

The Administrative Assistant is responsible for any of the following responsibilities:
Provide general administrative support to the department
Prepare/review invoices by checking the math against the sub's/vendor's draw schedules to verify there are no errors.
Contract administration
Monitors hourly payrolls/wage scales as needed
Interact and deal with office vendors and suppliers
Arrange travel accommodations as needed
Calendar management
Receive and process invoices, checks and tax-related documents
Organize meetings, conference calls and training sessions as necessary
Assist in proofreading of documents (i.e. manuals, annual report, etc.)
Create and implement central filing system
Design brochures and posters as required
Type business plans and input budgets
Other responsibilities as requested by the department
Requirements:
Must have a strong background in multifamily construction with at least 3 years of experience in the industry
Must have a thorough understanding of the various terminologies used in multifamily construction
Familiarity with lien notices and insurance requirements to meet compliance standards
Strong accounting skills
Must be detail oriented with a good working knowledge of punctuation, spelling, and typing skills
Must be proficient in the most current versions of Microsoft Word and Excel including setting up spreadsheets and using formulas to accomplish tasks
Strong organizational/filing/multi-tasking skills
EOE/background and drug screening
