The Administrative Assistant reports to the Executive Director and is responsible for providing support to the facility’s management team and staff. This position will also work with our Hospitality team and provide superior customer service to patients and caregivers.
Essential Functions - Duties & Responsibilities:
Tasks may include, but are not limited to the following:
Assist management team with administrative tasks as requested
Assist in preparing documents and reports
Assist with vendor relationships
Assist with café operations, as needed
Assist with clinic and front desk, as needed
Receive, sort, and distribute incoming mail
Miscellaneous administrative tasks
Perform work-related errands, as needed
Order office supplies, maintain inventory, and process receipts
Assist and direct patient's appointments throughout their daily experience
Ensure and maintain interdepartmental staffing communication for an effective and efficient patient process, experience and understanding of departmental functions
Ensure proper selection and management of the necessary paperwork that is required
Graciously greet and address any questions or concerns from LSI employees and patients
Responsible for assisting with the VIP process as needed
Is familiar with and able to comply with all HIPAA regulations
Greet all visitors and/or employees, patients and members of the general public as they enter the organization according to established policies.
Receive and direct all incoming telephone calls to the appropriate management personnel; take and direct messages when requested or as necessary
Outbound hospitality calls to external customers, patients and vendors
Other duties as assigned.
Qualifications & Requirements:
High School Diploma or GED equivalent
Good verbal communication ability. Clear and pleasant speaking voice.
Excellent customer service skills.
Outstanding interpersonal skills, patience and sound human relations skills.
Ability to effectively interact with patients, staff, members of the public, etc., on a continuous basis via telephone and/or face-to-face contact.
Clerical ability, to include typing, filing, organization skills.
Strong organizational skills and the ability to multi-task.
Ability to work in a fast-paced, ever-changing environment.
2 years or more of previous customer service experience.
