The SIS Dean’s office coordinator provides technical and computer support for the dean and the executive assistant to the dean to ensure the efficient day-to-day operation of the Dean’s Office. The office coordinator also manages the dean’s calendar and coordinates adjunct faculty support.

Essential Functions:
Dean’s Calendar
  • Manage the calendar of the dean. Exercises independent judgment to allow access to Dean’s schedule, using discretion in scheduling and redirecting interested parties to other more appropriate offices in SIS or on campus
  • Compile requested information and materials for meetings
  • Retrieve meeting information daily for respective appointments
  • Provide biographical materials and photos for dean’s outside speaking engagements
  • Make travel arrangements for the dean
Meetings and Committees
  • Assist the dean with scheduling and preparation for meetings
  • Assist the dean in preparing meeting agendas and distributing them to participants
  • Schedule committee meetings and make room reservations
  • Take minutes at meetings and then edit and distribute them to committees in a timely manner
Budget and Finances
  • Manage and reports to executive assistant on the status of the budget
  • Process credit card reclassifications on a monthly basis
  • Process reimbursements and payments
  • Manage the visiting scholar process from initial contact through academic approval and details for hosting visiting scholar
  • Manage alternative diploma process
  • Organize and maintain office filing system and administrative records (computer and hard copy)
  • Place orders for stationary, business cards, office furniture, equipment, and repairs and oversee requests for work orders for the School of Intercultural Studies Offices
  • Other duties as assigned
  • Handle incoming calls for the Dean and Executive Assistant to the Dean
  • Welcome guests and provides coffee or tea
  • Make Guest House reservations
  • Secure parking permits for visitors

Knowledge & Skills Requirements:
  • Bachelor’s degree required or equivalent
  • 2 years of office experience required
  • 2 years of higher ed work experience preferred
  • Exceptional organizational skills with meticulous attention to detail
  • Excellent written, verbal, and interpersonal communication skills
  • Able to balance multiple projects and re-prioritize as needed
  • Strong organizational skills with the ability to efficiently organize a large range of complex material
  • Maintain courtesy, confidentiality, and discretion in all matters relating to the work and guests in the Dean’s Office
  • Strong technological aptitude
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint)
  • Demonstrated ability to self-teach through the Internet
