The purpose of the Asset Coordinator is to assist with the processing and tracking of purchases, invoices and licenses for the EIS team under the direction of the Asset Manager. This position requires someone that is a good communicator, very detail oriented and who has the ability to work well with people remotely.
Assist in preparing proposals, presentations and spreadsheets
Perform administrative tasks related to the IPG IT office in Minneapolis as required, may include ordering of office supplies and distribution of mail.
Maintain department calendars and support schedules on i-portal.
Set-up and arrangement of meetings and special luncheons as needed.
Gathering prerequisite information, filling out, and getting approvals for purchase order requests and capital requests
Tracking purchases through the process and keeping involved parties updated
Maintaining schedule of maintenance and contract renewals
Maintaining schedule of license purchases and software maintenance
Assisting with the inventory and monitoring of all data center assets
Participate in periodic reconciliations between fixed assets and data center inventory
Work with other groups to coordinate changes to common data
Ad-hoc reporting in excel and PowerPoint as needed
Other administrative duties as needed
High School Diploma required
College Degree preferred
At least 5 years of administrative experience in a similar role is required
Expert knowledge of MS Word, Excel, and PowerPoint is required
Must possess exceptional written and verbal communication skills
Basic knowledge of MS Project and Visio is preferred
Must be detail oriented and organized
