Performs a wide variety of complex, non-routine clerical and secretarial support functions for the legal staff. Works independently to manage multiple priorities, develop and maintain tracking system for accounts payables within Legal Services. Maintains filing system.
Duties and Responsibilities:
Performs administrative support functions necessary for the operations of the department – incoming telephone calls, incoming and outgoing mail, couriers, physical plant (obtaining proper approvals for telephone locations and access, computer access for staff, etc.), expense reports, supplies, furniture and equipment.
Draft and prepare simple, non-standard correspondence, transmittals, and reports to internal and external customers.
Maintains general, litigation and arbitration case files including case calendars and assists with production, copying and indexing of documents.
Schedules appointments, meetings, travel, seminars and workshops.
Maintains confidential personnel files, monitors sick leave, leave without pay, family medical leave, vacation and submission of timecards for staff.
Word process documents for legal staff within strict deadlines.
Minimum Qualifications:
Associate’s degree or equivalent from 2-year college or business school with a total of two years related work experience and/or training; or equivalent combination of education and experience in a law firm, legal department or other similar environment.
Working knowledge of word processing programs.
Editing skills.
Strong verbal and written communication skills.
Ability to lift 20 lbs with or without reasonable accommodations.
