The Assistant Director of Events & Catering at the Hilton Hawaiian Village is responsible for executing written sales agreements for large-scale and complex full-service meetings, conventions and events and the successful execution of such events in the hotelÆs continuing effort to deliver outstanding guest service and financial profitability.

What will I be doing?

An Assistant Director of Events & Catering you would be responsible for supporting the Director of Events & Catering in the efficient operation of the Events & Catering department. Organizing and assisting with the coordination of convention groups, meetings and or special projects. Preparation of the Rooms and Catering forecast and budget, meeting planner survey results and other reports as needed. Managing the Westbound and International markets. Maintains liaison between the customer and their representatives and the hotel by directing each hotel department as to their specific role in the pre-planning and execution of on-site events/conventions. Maximizing revenues and controling expenses through effective negotiation of prices, services and accurate forecasting. Responsible for successful execution of event and customer satisfaction to ensure customer remains loyal and books future business with hotel/company. Specifically, you would be responsible for performing the following tasks to the highest standards:

Focusing on achieving a 3% forecast accuracy in group rooms and catering revenue. Reviewing and analyzing forecast with each Group Manager using history, pace, pick up and wash factor to determine a rooms and catering forecast for each group. Holding managers accountable for achieving the 3% forecast accuracy. Providing monthly summary on forecast and results review on actual compared to forecast.

Training, supervising and monitoring performance of Events Services staff in the proper preparation and distrubition of BEO's, resumes, correspondences and files. Ensuring all Event Managers are aware of and in compliance with Hilton Hawaiian Village Events Department, hotel policies and Hilton Hotel Corporation policies.

Maintaining an open line of communication with Event Managers including a weekly group meeting and monthly manager meetings on performance results. Working with the Director of Events & Catering on setting goals and quarterly update on goal achievement.

Interacting with customer and event managers to achieve and exceed meeting planner survey annual goals. Coaching and counseling managers on achieving individual goals in the key metrics and overall loyalty score. Using best practices and "positive tension" to achieve and exceed survey goals.

Working with Director of Events to communiate with all group clients prior to arrival and on site to insure customer satisfaction.

Catering solicitation, negotiating pricing and terms and conditions of products, labor and services not specifically articulated in master agreement covering the event. Possessing authority to negotiate terms and pricing of service agreements with companies and organizations affiliated with group business as well as vendor partner agreements. Directing customer services via site visits, board meetings, menu testing and planning meetings for definte and potetial groups. Responsible for representing the hotel to customer in the role of executing negotiated group sales agreements including but not limited to room blocks, food and beverage, exhibits and associated products and services.

Directing customer relationships in a proactive manner relative to payment structure, room block managment, food and beverae, public room rental and exhibit hall fee, incremental and affiliate revenue streams, performance damages and master billing process. Analyzing customers' serivce and product needs and financial issues of in-house groups; authorizing room, meeting and event logistics are planned, communicated to and executed by respective departments and team members.

Participating in internal and external meetings as determined by the Director of Events i.e., forecast, menu review, department, citywide pre-cons, operational department pre-shifts etc. Participating in internal and extenal training and industry events.

What are we looking for?

The successful candidate will have five years combined prior Event Services (Convention Services/Catering) and supervisory experience in a major convention hotel. Minimum two years supervisory experience. Must have proficient computer skills and flexibile availability.
