Job Posting Summary
Assist in communicating Geophysical Institute research and activities to the public and coordinate related events and conferences. Work in a fast-paced and progressive UAF department immersed in the study of arctic geophysical sciences. If communications and event coordination are your strengths, consider joining our team.
Knowledge, skills and abilities required for this position.
Computer skills to include use of Microsoft Office and Adobe applications. Excellent customer service and interpersonal skills. Good spelling, grammar and punctuation skills. Ability to follow applicable policies, rules and regulations. Ability to establish and maintain effective working relationships with individuals and organizations. Problem solving skills, ability to exercise sound judgment and analyze situations to make good decisions. Multi-tasking abilities. Team leadership skills. Proficient with Mac computers.
Typical education or training required for this position (including licenses).
Bachelor's degree or equivalent experience in a public relations, communications field or journalism. One year of experience in an administrative capacity. One year of experience in event coordination work.
Length of time and type of experience required for this position.
One year of experience working in an administrative capacity in which public relations tasks and event coordination skills were regularly employed.
Preferred knowledge, skills or abilities for this position.
Professional writing and/or public speaking experience. Photography/videography experience. Experience using PowerPoint, InDesign, Dreamweaver. Knowledge of Roxon and/or Drupal or other Content Management Systems. Familiarity with UAF procurement processes and Banner.

Public Relations Assistance:
Assist Public Information Officer by performing the following tasks: proofread, fact check and/or edit material for public dissemination; establish and maintain mailing lists and distribution information for a variety of publications; perform layout and distribution for the Alaska Science Forum and the Geophysical Institute Weekly Newsletter; perform maintenance on internally-produced websites; answer the phone and respond to inquiries from the public; assist with scheduling VIP tours; perform research as needed for public relations purposes; attend and provide support to events such as the Science for Alaska Lecture Series; assist in contacting and scheduling meetings and/or speaking engagements with GI and UAF faculty, researchers and administrators; maintain records and filing systems (including digital media); and other administrative tasks as assigned.
Event Coordination Assistance:
Perform event coordination duties for grant-funded programs following GI-established protocols and adhering to UAF- and GI-established policies for such events. Event coordination tasks include: establishing time schedules for short and long-term projects, scheduling rooms; arranging for ground transportation and food service; inviting guests and speakers (may involve preparation of invitation letters to international affiliates); preparing itineraries, schedules and agendas; purchasing materials using UAF Procard (maintaining related records and performing required reconciliation and reporting); publicizing events; assisting with room setups; coordinating multimedia services; collaborating and coordinating activities with GI Business and Travel Office personnel, vendors and local organizations that support the visitor industry. May be required to organize teams to complete tasks and to conduct meetings with team members.
