ADMINISTRATIVE SECRETARY – ACADEMIC AFFAIRS
Part-Time, 10 a.m. – 2:00 p.m., M-F
Under the direction of the Assistant to the Provost, this position provides administrative support for the programs and services of the Academic Affairs division, including the Office of the Provost, the Associate Dean of Academic Affairs, the Division Chairs, and the Registrar. Manage organization of departmental files and records; update and maintain the Associate Dean of Academic Affairs’ calendar and departmental scheduling.
SOME ESSENTIAL JOB DUTIES :
Collect & compile essential academic records including Syllabi, SLO reports, Academic Integrity Violations & IRB documentation. Generate applicable reports as directed.
Provide secretarial support by answering telephones, filing, typing, word processing, proofreading, editing, formulating correspondence, setting appointments for the Associate Dean, as well as screening phone calls and visitors. Take minutes at departmental meetings, as requested.
Update, maintain, and schedule the Associate Dean’s calendar and appointments. Ensure accurate scheduling of appointments and follow up of students on probation and in academic difficulty with the Associate Dean. Assist Associate Dean with the preparation of reports (“Red Flag”, Dismissals, Dean’s List, Probation); manage follow up and tracking of students on probation.
Provide supervision of front desk operations to ensure an effective customer service model.
ESSENTIAL QUALIFICATIONS AND REQUIREMENTS :
High School diploma and minimum three years experience providing support services, preferably in an academic environment. Must have excellent knowledge of office practices and procedures; business correspondence; editing and proof reading; protocol and practices; alpha-numeric filing; computer applications; and standard office equipment. High level of competence in word-processing (Word) and spreadsheet application (Excel), Power Point, and Publisher. Able to work occasional weekends.
