The Operations Coordinator (OC) is instrumental in leading the Teach For America South Dakota to reach our ambitious goals by effectively managing the administrative, financial, and operational components of the region. The most successful OCs embody Teach For America's core values at all times and leverage the OC role to positively impact the experience of all staff members, corps members, and community members, and maximize the region's collective impact through operations. This position offers significant opportunities for stretch projects, values-based leadership development, and flexible working hours.
The 50 corps members that call South Dakota home teach on the Rosebud and Pine Ridge reservations in the southwest part of the state. Along with more than 30 alumni in the area, they form a tight-knit group of individuals working side-by-side with the Lakota community to promote college-readiness, cultural awareness, and identity-rooted pride for Native children growing up in South Dakota.
Responsibilities will include, but are not limited to:
Managing office operations by developing systems and employing communication structures that maximize efficiency on a daily basis for all staff members based in the office
Managing facilities to enhance brand identity, productivity, and staff satisfaction, including maintenance of office technology and efficient use of office space and resources
Acting as a liaison to building management, local vendors, and Teach For America's national support teams, such as technology, marketing, administration, and finance.
Welcoming new staff members and visitors to the office and ensuring that they have the appropriate materials (desktop, laptop, telephone, office procedures, etc.) to operate effectively
Budget Tracking and Reimbursements
Coordinating budget planning, tracking budget to actual expenses, and making recommendations for fiscal strategy
Paying bills, allocating corporate card expenses, overseeing staff and non-staff reimbursements
Facilitates all Americorps processing including exiting and entering corps members and building efficient systems for corps members and regional management of Americorps responsibilities and documentation to ensure grant compliance at both the federal and state levels
Coordinating corps events by planning logistics, securing donated materials, and creating and sending mailings
Planning and supporting the execution of corps member induction and orientation
May assist with regional cross team projects including corps member selection, recruitment and alumni efforts
and Regional Communication (20%)
Helping to plan and execute all-staff retreats, team-building events, social gatherings and all-staff meetings
Maintains our corps-wide and alumni websites, TFANet, and facilitates training and promotion to regional corps members and staff
Ensuring timely and informative corps communication, including regional e-blasts.
Executive Support (20%)
Assuming a proactive role in increasing the efficiency and organization of the executive director
Access to and managing of the executive director's calendar, schedule, contacts, and priorities.
Providing administrative support including scheduling meetings and conference calls with participants across multiple time zones, maintaining calendars, tracking and managing correspondence, and processing expenditures for the executive director
Booking travel, including researching and purchasing flights, as well as hotels, and ensuring that the executive director's travel is both cost and time efficient
