The responsibilities of this position are three-fold: to manage all communication and events, to supervise the Client Services area of the office, and to participate in the management team for the Office of the Undergraduate Registrar. Specific areas include managing all marketing and advertising campaigns for the Office of the Undergraduate Registrar, the academic calendar process, university withdrawal/LOA processing, and the undergraduate Registrar’s web page. This person will also conduct all departmental event planning including pre-registration, registration, and orientation events. In addition, they will provide vision and leadership to the Client Services area including transcript processing, the Veteran’s Affairs Office, and the front-line client services staff including student workers in the Undergraduate Office of the Registrar.

1. Manages registration events in the fall, spring, and summer semesters. Coordinates the activities of the various campus departments. Problem solves as necessary, to resolve registration issues.

2. Manages Undergraduate Registrar staff development and communication through monthly staff meetings. Coordinates all activities and chairs the meetings. Uses innovative ideas to come up with useful and challenging topics.

3. Manages the Undergraduate Registrar’s budget, processing purchasing requests, paying invoices, and trouble-shooting with Registrar when needed. Works with Registrar to establish annual budget, and identify priorities for future expenditures.

4. Manages the Academic Calendars and process. Coordinates protocols, and will evaluate and prepare the Academic Calendar. Works with all of the appropriate departments on campus to establish and verify dates. Establishes approval process with President’s Cabinet and publishing procedures with University Relations.

5. Processes all university withdrawals, Leave of Absences, and Academic Dismissals.

6. Coordinates the public relations and advertising campaigns for the office. Creates and plans marketing campaigns for new customer services.

7. Liaison with Document Imaging for the ongoing document archiving process.

8. Creates and updates all office forms.

9. Develops integrative web services and manages the undergraduate Registrar homepage to communicate policies and procedures.

10. Supervises Transcript and VA services and all elements of the undergraduate transcript request processing, and works with the Transcript/VA Coordinator to implement improvements. Keeps current on technologies related to transcript, verification and VA service procedures.

11. Supervises Client Services staff and is responsible for student worker management. Works with the Client Services staff to implement improvements and initiate creative solutions to student service needs.

12. Participates collaboratively with members of the Undergraduate Registrar’s management team to maximize opportunities for process improvement and overall management strategies of the UG Registrar’s office that support university-wide strategic goals.

13. Represents the Office of the Registrar on selected committees and sub-committees as assigned.

14. Manages the office in the absence of the Associate Registrar.

15. Performs other duties as assigned by the Undergraduate Registrar.

Minimum Education: Bachelor’s degree required; Master’s degree preferred.

Minimum Experience: Five years experience in higher education enrollment services and/or professional business setting. Supervising experience preferred but negotiable with related skills and/or education. Experience with complex databases and systems a plus.

Skills: Excellent organizational, managerial, problem solving, and oral and written communication skills. Ability to balance a variety of tasks and demands. Desktop publishing skills a plus. High energy with ability to negotiate complex and/or difficult situations. Training skills for staff and student employees. Judgment and discretion skills. Analysis and strategy skills. Knowledge of university academic policy and procedures.

Mental Demands: Self starter. Able to participate in developing processes to meet the records needs of diverse programs.. Work under pressure to meet deadlines. Work effectively with other staff. Effective in faculty committee assignments. Supervise project teams. Ability to learn procedures and retain information. Physical Demands: Sitting for extended periods of time, and repetitive motions for operating computer mouse and keyboard. Hearing and speaking on telephone. Able to conduct business at other offices on campus. Ability to lift, pull, bend, grasp, occasionally lift up to 20 lbs., reach top of five-drawer file cabinet.

Visual Demands: Computer monitor, reading.
