GENERAL SUMMARY: This part-time position is responsible for providing administrative support to the administration and staff of the Laureate English Program. The Administrative Assistant is responsible for supporting processes that include: general administration, departmental facilities and events, faculty hiring, managing student applications, and providing assistance to faculty and students. ESSENTIAL DUTIES AND RESPONSIBILITIES: Answer incoming and making outbound emails and calls, filing, photocopying, scanning, prepare other materials via Word, PowerPoint, Excel. Support logistics, create agendas, and take notes for program meetings and events.

Fielding telephone calls, filing, photocopying, scanning and faxing. Create and submit expense reports and invoices to appropriate departments for reimbursement. Coordinating use of departmental facilities and assisting with departmental events. Maintain and develop electronic records.

Maintain information for course catalog, databases, annual report, and course rosters. Order supplies and keep all office equipment operational. Overseeing duties of student work-studies. Prepare personnel files for new faculty.

Schedule New Faculty Orientation for new faculty members. Serve as point of contact if potential faculty members have questions about paperwork. Keep database/spreadsheet of assignments. OTHER DUTIES AND RESPONSIBILITIES May perform other duties and responsibilities that management may deem necessary from time to time.

POSITION IN ORGANIZATION REPORTS TO: Academic Program Director, Laureate English Program TECHNICAL, MANAGERIAL, and PEOPLE SKILLS REQUIRED To perform this job successfully an individual must be able to perform each essential duty satisfactorily; in addition, individuals must be professional, friendly, proactive, wield strong writing and organizational skills, and have excellent communication skills. Experience: EDUCATION and/or EXPERIENCE: Must have a high school diploma, (Bachelor's preferred) and 1-3 years of experience. Secondary education or a degree in a business school, trade school or an associate degree or equivalent experience preferred. Must possess strong MS Word, Excel and Power Point skills as well as excellent verbal and written communication skills. Bilingual and experience with ESOL programs preferred.
