SUMMARY: The Receptionist is responsible for delivering exceptional customer service, communicating effectively with management, customers and co-worker and providing a high level of support to the Management Staff. In addition, this position is responsible for welcoming all visitors, vendors, and job applicants to the building.
SUPERVISORY RESPONSIBILITIES : There are no supervisory responsibilities for this position.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Create a positive experience for all visitors and employees by consistently providing superior service and exceeding expectations.
Answer all incoming calls for the facility and direct accordingly.
Check the facility’s general voice-mail and route messages in a timely and appropriate manner.
Greet and direct all visitors coming into the building utilizing visitor protocols
Assist the Management Staff with day-to-day administrative duties including typing, filing, copying, and scheduling meetings.
Prioritize multiple tasks in a fast paced environment in a positive manner with focused attention to detail.
Order office supplies and coffee orders for the facility.
Maintain organized, professional-looking reception area.
Assists with administrative support as requested by all members of management at the facility.
Assist Admin Dept with entering employee training data into HRIS database
Assist in coordination of events and meetings as requested
Willingness to take on new challenges and learn assigned tasks readily.
Meet and exceed all performance goals and project deadlines.
Constantly maintains an exceptional level of absolute confidentiality.
OTHER NECESSARY FUNCTIONS:
Follows all policies, procedures, ergonomic standards and safety requirements directed by GMCR and the department.
Performs other duties as requested by management.
Two-year college degree in a related field or 3 years of experience applying a comprehensive, hands-on knowledge of multi-line business phone systems and administrative support.
Ability to communicate clearly, to demonstrate a professional appearance, composure and demeanor in a fast paced, constantly evolving environment.
Advanced proficiency with Outlook, Word, Excel, and PowerPoint.
Working knowledge of standard office equipment such as printers, copiers and faxes.
Comfortable working in a team environment, occasionally working a flexible schedule.
Excellent phone, organizational, and people skills required.
Ability to follow GMCR policies and procedures
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
- Predominately sedentary light office position with high frequency of keyboarding/computer work required (67% - 100% of the workday).
