We’re currently looking for an experienced Administrative Assistant at our Charlotte, NC Headquarters location Essential Duties/Responsibilities include, (but are not limited to):

Provide day-to-day administrative support to assigned managers and their respective teams.

Receive and screen phone calls and visitors and potentially direct them to the appropriate parties.

Compose and distribute complex correspondence using standard word processing systems and/or other software applications.

As needed, research information and compile summary reports.

Review for accuracy and format outgoing documents that require the manager's signature.

Collect, review and distribute incoming hard copy and electronic mail. Independently handle mail not requiring the manager's attention. Review outgoing mail to ensure accuracy and proper format. Follow up to ensure appropriate action.

Coordinate requests from clients, manager and in-house staff. Determine action on important or emergent matters or knows whom to contact in absence of manager. Maintains file of important matters for the manager's attention upon return. Assists staff in certain procedures.

Coordinate travel arrangements, including details of business plans. Prepares itineraries and assists in processing expense reports.

Coordinate meetings, arranging for facilities, equipment and refreshments. May prepare and distribute notices, agendas, information packets and minutes.

Develop and guide the implementation of office/business unit procedures and of filing and record keeping systems.

Will perform other related duties as required and assigned.

Minimum Qualifications:

Demonstrated performance in moderate and some advanced clerical and administrative support duties.

Ability to perform duties and tasks that are varied but standardized.

Ability to resolve routine questions and problems while referring more complex questions to appropriate levels.

Ability to select from a variety of established procedures to accomplish assigned tasks.

Level of language skills, mathematical skills, communications skills, reasoning ability and computer skills necessary to perform essential functions of the job.

Strong organizational skills.

Professional telephone practices.

Demonstrated knowledge of filing systems and and common office procedures.

Proficient in common office software programs including word processing, spreadsheets, email, presentations, etc..

Ability to handle sensitive and confidential information.

Ability to handle multiple tasks in a proficient manner.

Ability to learn quickly and function in a fast-paced environment with frequently changing priorities.

Must be proficient with Microsoft Office Suite software, especially Word, Excel, and PowerPoint.

Must be able to complete and maintain all training and qualifications required for the position.

Education and Experience Required:

High school diploma or equivalent, and 5 years experience in an administrative support/secretarial/clerical role.
