Protection Strategies Inc. is looking for a Workflow Coordinator that will be supporting our contract at the Department of Health & Human Services. The employee will provide professional work related to the supervision of records management. The employee will also be responsible for overseeing records processing and filing unit.

Requirements:
• High School Diploma
•2 or more years of experience in records management systems.
•Must be US Citizen
•Experience with HSPD-12
•Must pass requirements for pre-employment screening and background investigations.
•Prior experience in records/file management.
•Possess proficient verbal and written communication skills.
•Proficient in Microsoft applications and document scanning.

Responsibilities:
•Directs the work of the support staff and activities on a daily basis.
•Provide adherence to records management policies and procedures.
•Maintains record retention schedule.
•Managing and maintaining personnel files.
•Responsible for initiating System of Record Notice (SORNS) when necessary.
•Assigns work and ensures timely completions of assignments and work related deliverables.
•Produce and review weekly reports from the Background Investigation Tracking System (BITS).
•Responsible for managing the case load that is assigned to each security specialist.
•Responsible for reporting out to the personnel security staff with updates regarding work assigned to the specialists.
•Responsible for tracking all cases that are assigned out to a specialist/tracking where a case is in the process.
•Responsible for answering phone calls and emails from customers and regional administrators in a timely manner.
•Liaison between PSC security office and the regional administrators within the 10 regions of the US and HQ.
•Responsible for light filing, logging paperwork, mailing information to OPM, etc. as needed.
•Send and receive faxes on a daily basis.
•Responsible for verifying investigations as needed with OPM (Office of Personnel Management).
•Responsible for developing SOP’s when needed or helping to assist the federal staff in this process.
•Responsible for attending bi-monthly conference calls with the regional managers along with the federal personnel security staff.
•Responsible for answering all escalated tickets and phone calls from the security helpdesk when they are escalated to Tier 2.
•Responsible for adhering to the records management policies and procedures.
•Responsible for providing guidance on record disposition.
•Responsible for maintaining record retention schedule.
•Responsible for managing and maintaining personnel and other files.
•Work with FOIA office when necessary to validate file plans.
