Scope of Position
The Concert Manager will manage the operations of the Museum’s concert series and Music Department, and will support the Director of Music in a variety of administrative and support activities relating to the concert series and other music programs in the Museum.
Responsibilities
Schedule, attend, and manage the operations of Sunday Concert Series, Avant Gardner, and Jazz at the Gardner; participate in cross-departmental team that implements the popular Gardner After Hours events
Support the extension of music programming reach through digital media (e.g. podcasts)
Work with Development and Marketing departments on concert-related services for their constituents, including ticketing, seating, donor recognition, and events; includes overseeing the execution of Saturday Preview concerts, scheduling and managing aspects of the Holiday Celebrations, Annual Gala, and other high profile events for members and donors
Act as primary liaison with artists and artist managers regarding concert arrangements
Schedule performance hall and green room use for rehearsals and performances, coordinating with appropriate departments within the Museum
Work to resolve operational issues for all music events, including liaison and ongoing communication with Security and Facilities departments and working with Operations Team on advance planning
Produce concert programs
Manage artist hospitality and supervision on concert and rehearsal days; greet artists and fulfill artists’ needs
Together with Public Programs Department, recruit, train, and manage crew of 30-40 Program Greeters
Interact with concert audiences including welcoming, conflict resolution, and assistance with special needs, in collaboration with Visitor Services department
Oversee, with assistance as needed from the Program Production Manager, the coordination of equipment rental, stage setup, and any stage moves during concerts
Hire and manage concert support staff as needed, including page turners and stagehands
Coordinate concert ticketing details with Visitor Services Department
Work with Membership and Development Departments on concert-related services for their constituents, including ticketing, seating, donor recognition, and events
Act as support staff to Music Director, including scheduling and correspondence
Manage all aspects of music department budget
Arrange payment for all musicians and vendors
Prepare and maintain records of artist contracts/agreements
Oversee care and maintenance of Museum’s three pianos and one harpsichord
Respond to phone and email inquiries regarding the concert series and music program
Manage podcast production process: serve as primary liaison between Music Director, musicians, podcast writer, recording engineer, voiceover artist, and web producer; maintain performer release file; and manage audio reference library
Maintain concert licenses (ASCAP, BMI)
Requirements
BA
Demonstrated interest or background in classical music
Excellent writing skills and proof-reading skills
Excellent phone manner
High level of detail-orientation and organizational skills
Ability to work under pressure and interact gracefully with varied constituencies
Must be able to work weekends (primarily Sundays) and some evenings and occasional Saturdays
Must be able to easily be active for extended periods of time, and lift heavy loads
