Provides administrative support to all departments in addition to front desk reception duties

  • Answer incoming phone calls and route calls as appropriate
  • Greet vendors, customers, job applicants and other visitors in a friendly professional manner
  • Mail – distribute incoming mail, prepare outgoing mail using postage meter machine, maintenance/replenish of postage machine
  • Welcome / News monitor - Update and add daily messages to monitor at front desk
  • Security officer for ITAR
  • Assist Accounting with invoice match to bi-monthly check-run
  • Prepare Purchase Orders and place orders for Business Cards, Coffee supplies and miscellaneous office supplies
  • Report any equipment issues with the vending machines
  • Organization Charts - update and maintain on a monthly basis
  • Service awards – distribute letters on a timely basis, process invoices and prepares annual power-point presentation
  • Enter Quotes for Customer Service support
  • Update and distribute Amphenol RF telephone list and Corporate directory when necessary
  • Travel– assist with international and domestic travel options and prepare itineraries – Adelman point of contact
  • Travel Visas – Coordinate and process of travel visas and passports as needed
  • Contracts – Review as needed and coordinate with Corporate legal
  • Assist and or coordinate events/meetings on/off site as needed
  • Assist HR with annual mailings
  • Handle highly confidential files and legal/financial documents with discretion
  • Provide administrative support to other departments
  • Effectively work independently with minimal supervision
  • Strong Organization and Attention to Detail skills
  • Exceptional Communication Skills both verbal and written
  • Highly proficient in MS office applications: Word, Excel, Power Point and Outlook
  • Any other duties as assigned

High school or equivalent education/work experience plus three (3) to (5) five years of related experience. Other requirements as necessary.
