This position in Herron School of Art will serve as graduate coordinator. Review prospective candidates for graduate programs, negotiate financial packages, conduct workshops, orientation procedures, and career planning to assist graduate students. Serve as academic advisor to undergraduate students. Serve as final recorder of the school: conduct degree audits, notify students, plan/coordinate graduate ceremonies and do final certification of graduates. Manage information using quantitative and analytical skills from various sources to report enrollment, demographics, student trends, and student satisfaction to Herron management.
Primary Responsibilities Include:
• Review prospective candidates for the graduate MA and MFA programs. Guide students through application process and portfolio submission. Participate in faculty discussions and decisions regarding graduate admissions. Prepare and negotiate financial packages for graduate students in concert with the fiscal officer of the school and program faculty. Conduct workshops for recruiting events, orientation procedures, and admission to an academic school, reinstatement, career planning, and other types of workshops that may be needed to assist students.
• Provide academic advising for undergraduate students. Assist students with academic problems. Prepare, maintain, and advise students regarding academic records, degree requirements, test scores, grades, and course work selection to meet academic standards. Oversee progress of students; regularly review student academic records to determine academic standing, probation, and eligibility for graduation. Work with faculty and mentors to provide support to at-risk students. Assist in preparing curriculum exemptions, exceptions, or substitution when appropriate. Provide support to students on the use of the various campus support services and resources. Participate and provide input in developing policies and procedures related to student activities such as curriculum, testing, orientation, enrollment procedures, etc.
• Serve as senior recorder for the school. Work with the student services specialist to review transcripts of all students to ensure student has met requirements to graduate. Notify students, send graduation forms, enter graduate info into student record system, plan/coordinate graduation ceremony, certify graduates, order and distribute diplomas.
• Manage student information. Using quantitative and analytical skills, gather student data from various sources to assist Director of student services and Dean's office in recruiting and retention efforts and future planning.
Required: Master's degree from an accredited institution plus one year related experience or bachelor's degree with three years of student services and report writing experience.
The successful candidate should have knowledge of career counseling techniques and higher education experience; knowledge of IUPUI and the Herron School of Art and Design policies and procedures;ability to work well with faculty, staff, students, and parents; able to plan and organize activities for large groups of people; and familiarity with student records and transcript analysis. Quantitative and analytical skills a must.
