The Penhall Company's is currently accepting applications for a full time Contracts Administrator / Office Engineer to work in a fast paced office with a variety of responsibilities. Penhall's Contracts Administrator / Office Engineer will process bid job contracts and ensure compliance with associated contract documents and billing requirements. The successful candidate will have experience in similar small to mid-sized office settings. Through sound actions and decision making, this position provides an opportunity to have a daily impact on our business. Position Requirements: 3+ years contracts office administration experience. Construction industry experience is a MUSTMust be organized and able to work on more than one task at a time Tenacity, patience, self-reliance, and flexibilityAbility to decipher previous billed amounts and amounts remainingExposure and understanding of insurance is recommendedWorking knowledge of Lien Rights, Releases, and Stop NoticesConcepts of cost- incurred and accruedCan work with and communicate effectively with Project Managers and Superintendents on billingExperience in processing Accounts Payable, Receivable, Payroll and Job Costing and understanding essential concepts Additional Skills: Knowledge of the A/S 400 I-Series, Microsoft, Outlook, Word and Excel Strong leadership skills, creative thinker, attention to detail, and big picture potential Position Duties: Approve C/O's, and outstanding C/O's in conjunction with billing.Revenue vs billed amounts and Over/Under billingComprehensive billing of job from inception.Job Costing.Extra work, Change Order and Request for Information terminology.Input payroll and distribute checks.Distribute PO's, Prep, enter upload payables.Run edits, Organize job folders including all filing.Keep track enter petty cash checks.Review pay fuel bill credit card statements.Process applications for all new hires.Maintain phone list distribute, Order insurance certs and bonds.Browse the Web for jobs bidding and communicate the info found to all.Order/download or otherwise get plans and specs for bidding projects.Verify coding on tickets release.Enter/distribute bid list/capture report.Schedule flights order office supplies.Support manager, superintendents, estimators PM's in other states.DIA liaison (authorized agent requires 10 year background check)Register vehicles at DMVEnter all billings from PM's, Enter change orders and make sure contract values are correct.Collections, Print upload invoices mail invoices to customers.Process contracts, answer phones.
