Position Summary: The Administrative Assistant II for the Wimberly School of Religion provides clerical and administrative support to director and faculty, programs and operations of the School. The Administrative Assistant II reports to the Director, Wimberly School of Religion/Associate Professor of Religion. A high school diploma or equivalent is required. Some college coursework is preferred. A minimum of two years of experience providing administrative or clerical support in an office setting, or a suitable combination of education and experience is required. Experience in an academic environment preferred. Experience in the United Methodist Church or other church related organization is desirable.
Student Services : Maintain database of student information, assist with enrollment procedures, coordinate monthly student luncheons, notify students of special events, and maintain advisee/advisor lists.
Assist Faculty and adjuncts : Assist with copying, coordinate book orders, notify faculty of monthly faculty meeting and special events, provide support for faculty meetings (take minutes, prepare agenda and materials), prepare and process course evaluation forms, prepare assessment data.
General Office : Answer phone, coordinate mail pick-up, maintain filing, maintain copy room, purchase supplies for office, maintain forms needed for academic requests, maintain office equipment, prepare general School of Religion correspondence, record purchasing card entries, and assist Director with management of budget.
Event Coordination : Coordinate monthly religion major luncheon, reserve room and order food; order/prepare food for Orientation of Religious Studies, for 10-12 Mondays fall semester; schedule speakers for both in consultation with the Director.
Prepare academic schedules and request rooms for classes.
Coordinate scheduling of classrooms with Saint Paul School of Theology@OCU.
Coordinate the Vespers Awards Service in May in consultation with the Director.
Coordination of Executive Board Meetings, including taking minutes, in consultation with the Director.
Assist with coordination of activities and budget of Theta Alpha Kappa, the School of Religion Honor Society.
Prepare adjunct and overload faculty contracts and submit payroll for adjunct and overload faculty each semester.
Coordinate School of Religion mailings.
Hire, schedule, train, and supervise work-study students.
Prepare letters for Bishop, Dean, and Religion Scholars.
Maintain alumni lists, keeping contact information up to date.
Update School of Religion website and Facebook page as needed; promoting the School of Religion in social media and publications.
Assist the Director or faculty in other duties as requested.
Ability to effectively communicate and demonstrate an appreciation for diverse constituents.
Must demonstrate excellent customer service skills; be service oriented at all times.
Must be highly organized.
Works cooperatively with others and accepts direction from supervisors.
Must be proficient in all programs of MS Office Suite.
Must be proficient in internet and web search skills.
Excellent time management skills with ability to multi-task.
Must possess basic computation skills.
Must handle confidential information with appropriate discretion.
Ability to acquire computer applications and software knowledge quickly.
Must be able to lift and carry equipment and supplies weighing up to 40 pounds.
Must be able to bend, stoop, and reach.
Manual dexterity to efficiently operate a computer keyboard and other business machines.
Near vision sufficient to read written communications and computer display screens.
Adequate hearing to communicate effectively in person and by phone.
Typing required for approximately four to six hours per day.
Work is primarily indoors, but requires the incumbent to be in an outdoor environment when traveling between campus buildings or off campus.
Standard office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday.
Attendance at evening and weekend events is required.
Off-campus, state and regional travel is required.
Will be exposed to frequent noise caused by telephones and office machines.
