Location of Position
The Grant Data Associate will analyze and ensure contribution requests from Healthcare Organizations (HCOs) are in compliance with U.S. laws and in accordance with Baxter policies. The ideal candidate must demonstrate an understanding of the regulatory environment and comprehensively and consistently execute on Baxter’s policies. The candidate must have the ability to successfully manage multiple activities with varying priorities. The candidate must have complex problem solving capabilities and an ability to identify areas of concern within the department’s contribution review and approval processes. The candidate must have the ability to develop solutions from a strategic and operational perspective.
Key responsibilities include:
Review and approval of Healthcare Organization registrations received through the on-line application system, review HCO contribution requests with consistency while ensuring compliance to processes and procedures. Evaluate data, coordinate and manage relationships with Healthcare Organizations, collect and evaluate data for reporting requirements, coordinate HFAC approvals, process check requests and submit checks with supporting documents to Healthcare Organizations once payment has been approved by the Contributions Committee.
Prepare and assess contribution requests against criteria to ensure that requests are appropriate for Contribution Management Committee meetings including detail on amount requested and amount suggested. Committee meetings are focused on budget availability, compliance, document verification and approval of request.
Partnership with Healthcare Organizations and Baxter Business Functional areas:
Healthcare Organizations- Provide guidance regarding requests received to ensure all requirements are met, help troubleshoot and correct system access issues. Communicate and document status of request to organizations using various modes of communication. Deliver payments for each request.
Sales Teams – Provide regular updates on contribution request status.
Marketing Teams- Ongoing communication with identified business marketing teams to ensure proper team reviews and responds to commercial sponsorship requests.
Finance Teams – Ongoing monthly and quarterly check-ins to keep on top of budgets and spend.
Maintain excellent interpersonal relationships with internal and external customers communicating status updates, review decisions, and milestone updates.
Excellent analytical, organizational, problem solving and computer skills particularly Excel, PowerPoint, Word and Access databases. Ability to manage competing priorities and deadlines. Dedication to meeting the expectations of internal and external customers while maintaining highest ethical standards. Must demonstrate ownership for achieving accurate and timely results. Must be a detail-oriented problem solver, with the ability to constructively identify areas of improvements and implement updated processes. Excellent verbal and written communication skills. Looks for ways to support team members. Past experience working with the non-profit community a plus.
The ideal candidate will have a Bachelor’s degree with at least 3-5 years of relevant experience with finance, grant programs, project management or related experience.
