Job Summary

Under direct supervision, oversees and manages both technical and clinical research projects. Responsible for coordinating activities of team, identifying appropriate resources needed, and developing schedules to ensure time completion of projects. Effectively coordinates the activities of the team by becoming familiar with project scope and objectives, as well as the role and function of each team member. Demonstrates good communication, organization, and team building skills. Project portfolio will consist of both technical and clinical research projects.

Ability to communicate effectively on both types is essential. The Perioperative Data Systems Research (PDSR) group's clinical research focus is perioperative informatics and typically involves analysis, reporting, storage, and complex manipulation of vast quantities of healthcare related data.

Key Functions and Expected Performances

1.

Under direct supervision, coordinate and oversee the planning phase of project implementation using the Technical and Research Project Implementation Process.

1a.

Coordinate the transition from Project Evaluation to Project Implementation both for technical and clinical research projects.

1b.

Organize Team Resources, including Steering Committees, Project Teams and Work Groups, as needed.

1c.

Develop high-level project plan and achieve buy in on task responsibilities and timelines from the appropriate team members.

1d.

Define communications, issue management and scope management strategy and achieve approval from the appropriate team members.

1e.

Effectively manage expectations with the PDSR Director, project stakeholders, and project team members to ensure clarity in understanding throughout the project lifecycle

1f.

Solicit input from appropriate staff to evaluate cross-system impact.

1g.

Evaluate project risks and develop contingency plans, as appropriate.

1h.

Define project objectives and define success measurements.

Develop and communicate appropriate project documentation, including project overview, scope, team structure, status reports, issues management reports, change control reports, meeting notes, etc. as required and in a timely manner.

2.

Institute the design phase of the Technical and Research Project Implementation Process.

2a.

Coordinate development and approval of appropriate requirements and design documentation.

2b.

Ensure Approval of Developed requirements and design.

2c.

Develop detailed project plan.

3.

Complete build & and installation phase of Technical and Research Project Implementation Process.

3a.

Coordinate the development, installation, customization and unit testing tasks.

3b.

Evaluate and manage system development in line with project requirements.

3c.

Direct modification of deliverables as necessary.

3d.

Assist and monitor the integrated testing phase in conjunction with the Project's Quality Assurance Analyst.

4.

Coordinate training and go live phase of Technical and Research Project Implementation Process.

4a.

Coordinate development of appropriate training materials, training plan, and documentation.

4b.

Assist and monitor implementation of training plan.

4c.

Coordinate development of detailed go live plan.

4d.

Assist and monitor implementation of go live plan.

5.

Complete close out phase of Technical and Research Project Implementation Process.

5a.

Ensure team consensus of project completion.

5b.

Transition system responsibility to production support staff.

5c.

Complete project close out documentation.

6.

With direct supervision, serve as project leader, to ensure timely completion of project tasks in line with project and enterprise objectives.

6a.

Coordinate and lead steering committee, project team and work group meetings, as required.

6b.

Manage and communicate project status to team members and executive staff, including management of project website, consistent status reporting and presentations.

6c.

Identify, document and manage project issues and escalate, as appropriate, to achieve timely resolution.

6d.

Effectively manages changes to project scope, schedule or resources in order to ensure the project delivery within established guidelines

6e.

Ensure compliance with regulatory agencies including meeting deadlines, when applicable.

6f.

Ensure integrity and security of institutional data.

6g.

Demonstrate ability to multi-task effectively.

7.

Actively identify and participate in training, education and development activities to improve own knowledge and performance to sustain and enhance professional development.

7a.

Keep up-to-date on project management software systems, practices and technological developments, as appropriate.

7b.

Seek to understand Vanderbilt University organization and goals.

7c.

Maintain skills commensurate with job expectations.

8.

Demonstrate good team building skills.

8a.

Actively participate in Implementations Team Meetings.

8b.

Readily volunteer to assist fellow team members as needed.

8c.

Promote constructive formal and informal information sharing and interdisciplinary collaboration.

9.

Administratively Manage PDSR

8a.

Actively participate in performance evaluations and performance development including coaching and mentor.

Provide oversight for time and attendance as needed to manage project timeframes

Basic Qualifications

Job requires Bachelor's and 18 months of experience or the equivalent.
