The Business Office Coordinator has responsibilities in two areas: finance and business operations. This person works in conjunction with the Business Office Manager and a contracted CPA to maintain a high standard of accountability for organizational finance
and business operations.

The position requires the ability to handle multiple responsibilities and tasks simultaneously. An excellent memory and attention to detail is essential. The incumbent should have superior administrative, organizational, communications, and writing skills.
In addition, experience with and knowledge of IT systems is desired. Must be able to handle sensitive and confidential information with discretion and be able to meet the needs of staff and the public in a friendly and helpful manner.

Responsibilities/Duties

Carries out the bookkeeping functions of the organization including accounts payable and accounts receivable.

Prepares and processes incoming and outgoing invoices, purchase orders and check requests and insures that they are accurately and timely processed according to terms and discounts.

Maintains records and files of all organizational business transactions in a central filing system and ensures the safety and security of information.

Acknowledges cash and in-kind gifts and ensures proper recording. Works with Development team on donor correspondence.

Records incoming checks into the check log.

Assists in the collection of overdue accounts.

Manages the purchase of office consumables.

Accepts incoming orders and ships outgoing orders for promotional items.

Manages the inventory of promotional items and places reorders with the approval of the COO >
Serves as the POC for Canon technical support contract. Handles copier issues and submits work orders for those that cannot be done in house.

Provides quarterly copier meter readings as part of the contract.

Routinely picks up and distributes mail.

Serves as the staff and organization POC for IT/LAN/phone issues and work orders. Interfaces and attends meeting with IT vendor.

Serves as the point of contact for IT/LAN/phone issues and work orders. Interfaces and attends meeting with IT vendor.

In the absence of the Business Office Manager, carries out those duties and responsibilities as required.

Areas of Competency:
Outstanding verbal communications skills as well as excellent writing, editing and proofreading skills.

Excellent knowledge of the principles of administration, finance and bookkeeping.

Proven organizational and planning skills.

Must have excellent customer service skills and an ability to tackle emerging projects.

Ability to plan and coordinate efforts in a positive and team oriented manner.

Extraordinary discretion and confidentiality in dealing with sensitive information.

Strong organization and time management skills.

Required Qualifications

Bachelor’s degree in finance or accounting preferred, but not required. 2 years of bookkeeping experience may be substituted.

Outstanding communication skills, verbal and written.

Ability to develop strong working relations with the USO-Metro staff.

Proficient in Microsoft Office, including Outlook, Excel, and Word and a multi-user accounting system, preferably Peach Tree.

Extraordinary discretion and confidentiality in dealing with sensitive information.
