Job Description

The role of the Special Events and Projects Coordinator is to provide support to the Managing Director. The position will focus on a 500 person gala fundraising event in May 2013, donor-led fundraising events throughout the year as well as grassroots fundraising events and other special projects. In order to do this they must successfully represent Ubuntu's interests by ensuring that a variety of service providers are meeting key deliverables and deadlines. The position requires an ability to be firm and demanding while being diplomatic to maintain important relationships.

In order to ensure the success of key projects, the position will update and maintain all event-related information in the Convio Luminate CRM database and excel spreadsheets. The position will be in charge of tracking contact information, mailing lists, invitations, and registrations.

Other Special Projects

Lead logistical preparation for events ranging from cocktail parties to fundraising runs and walks.

Assisting in the production of written and visual materials, including the development of beneficial marketing, publicity, and media that accurately promotes the Ubuntu brand.

Assist the managing director with administrative duties including but not limited to the managing of his diary and communication with key stakeholders.

The following skills are essential to this role:
Excellent attention to detail

Top-notch administrative and organizational skills are essential.

Some event coordination experience is an advantage specifically administrative & operational experience ideally gained in events or hospitality, specifically charity fundraisers, corporate awards and galas

IT Literate (Microsoft Office – Word, Excel, PowerPoint, Outlook) – especially effective spread sheet and database management

Experience with Keynote and Pages on Mac is an advantage

Design and marketing skills are an advantage

Excellent organisation, administration and time management skills with the ability to work under pressure on multiple projects at the same time whilst managing changing priorities

Competent to work with people at all levels, both internally and externally to the organisation – especially key suppliers to ensure services are delivered effectively and expectations are exceeded

Confidence and ability to lead on certain key projects from start to finish with minimal supervision
