Located in northern New Mexico, Los Alamos National Laboratory (LANL) is a multidisciplinary research institution engaged in strategic science on behalf of national security. LANL enhances national security by ensuring the safety and reliability of the U.S. nuclear stockpile, developing technologies to reduce threats from weapons of mass destruction, and solving problems related to energy, environment, infrastructure, health, and global security concerns.
The Nuclear Engineering and Nonproliferation Division (NEN) works both on the front lines and behind the scenes to prevent the use of nuclear or radiological materials as threats to national or international security.
The Safeguards Science and Technology Group (NEN-1) works to safeguard nuclear materials by developing techniques and systems for nondestructive assay of nuclear and hazardous material. Applications include nuclear materials control and accountability for domestic DOE nuclear facilities, nuclear waste disposal, material stabilization efforts, and international nonproliferation efforts. NEN-1 includes about 56 staff, including students and contractors, and executes budget of approximately $25M.
NEN-1 is seeking an enthusiastic, motivated, results-oriented office administrator to support the group office and staff. Responsibilities include, but are not limited to:
Communicating with executive, administrative, and line management employees to gather or convey information about activities or to interpret policies or procedures.
Working cooperatively with all group staff as well as all members of the NEN Division staff.
Performing duties with minimal supervision.
Maintaining a professional office environment practicing confidentiality and discretion at all times.
Practicing excellent judgment and initiative in determining the approach or action to take in non-routine situations.
Making administrative decisions in delegated areas of responsibility.
Minimum Job Requirements:
Demonstrated experience performing high-level administrative duties in a busy and dynamic office environment.
Proven ability to work effectively and efficiently under the pressure of deadlines, interruptions, and changing priorities.
Established experience in serving as a resource to interpret, practice, and communicate information regarding Group, Division and Laboratory policies and procedures.
Proven experience organizing, prioritizing, and following multiple tasks to completion.
Demonstrated experience effectively managing electronic calendars and group manager schedules.
Demonstrated experience coordinating and arranging complex meetings/conferences.
Established experience with domestic travel reservations and reimbursement processes and systems.
Demonstrated experience with processes and systems for hosting external visitors, including foreign national visitors from sensitive countries
Demonstrated excellent oral, written, and interpersonal skills.
Proven success working independently and in a team environment.
Demonstrated experience working in a confidential and discrete manner on matters requiring excellent judgment.
Working knowledge of Lab-wide administrative systems (Oracle, Time and Labor, Concur, DIVA, iProcurement, Data Warehouse, etc.) and computer software applications (Word, Excel, Outlook, PowerPoint, etc).
Must have an excellent record of dependability, availability, attendance and punctuality.
Active DOE Q Clearance.
