To ensure the efficient and effective delivery of instruction and operation, the High School Diploma Completion Initiative (HSDCI) Lead Support position manages daily office operations including: resource management, internal/external communications, provides support for grant activities, develops and maintains required reports, and develops systems and processes. The Lead Support position monitors attendance of HSDCI students and other activities to support the HSDCI Case Manager; oversees usage of departmental equipment and supplies; develops and monitors the monthly budget report; maintains routine correspondence and other activities in support of HSDCI faculty, staff, students, the department office and the College; and oversees planning of HSDCI special events. Essential Duties & Responsibilities:Provide clerical support to the HSDCI including maintaining correspondence, handling internal and external inquiries, i.e., request for college information, complaints and follow up as necessary for appropriate resolution, create and edit documents and reports, entering data, set up files and making copies. Work with the HSDCI Director, Case Manager, Ingham Intermediate School District and other stakeholders including the HSDCI Advisory Board by providing support to include: scheduling meetings, maintaining the director's calendar, making travel arrangements, gathering and organizing information, producing budget reports and others, creating documents, and responding to requests for information, planning events and activities, and providing input for the creation, implementation, and revision of processes and procedures for all functions within the program.Manage communications and collaborate with internal and external stakeholders direct and distribute the flow of information to ensure efficient daily functioning. Implement, evaluate, and update HSDCI operating procedures and database systems on a continuous basis for improved work productivity and to ensure adherence to state/federal requirements, and college policies and procedures.Collaborate with faculty/staff, stakeholders/partners and HSDCI leadership; assess the ongoing needs, issues and concerns of students in order to ensure program and student success.Coordinate HSDCI special events; manage purchasing and budget processes, ordering of all necessary supplies, and monitor efficient use of equipment and supplies. Develop, implement, and oversee office systems to improve workflow and document tracking, and to ensure compliance with Michigan Department of Education, and college procedures and requirements. Use Banner Systems to enter, retrieve, and request necessary information in support of the initiative. Produce reports to include an annual report in order to maintain flow of accurate and timely information to HSDCI public stakeholders, adhere to compliance requirements, and to provide supporting documentation for replication of the initiative.Assist in program management: train and assign tasks to student employees and/or work study students to maintain a high quality of service to students, faculty, staff, stakeholders/partners, and the community.
Education:Associate's Degree required with 3 years of experience in business and organizational support functions to include office management and event planning and organization or 5 years of experience performing business and organizational support functions to include office management and event planning. Advanced computer software training and experience in all Microsoft Office (Word, Excel, Access, PowerPoint, Microsoft Publisher, Outlook) productsExperience working with the public, creating written materials for publication, such as brochures.Experience in budgeting or bookkeeping and a familiarity with grant processes and reportingCore Competencies:Proficient knowledge and usage of computer software: Windows, word processing, databases, internet and network systems Knowledge of LCC procedures and requirements of systems that serve HSDCI to include: college student records, registration, budget, Oracle (Student System, HR Entry Specialist, Faculty System, R25, Service Requests)Experience in budget and accounting: creating, maintaining and reportingKnowledge of K-12 and higher education, and student service systems and practicesKnowledge of grant writing process and reportingMust demonstrate a commitment to work in a team environment as well as a commitment to diversity, continuous improvement and the community college philosophy.Salary Range: $31,683-$35,468Job posting close dates are subject to change.If after you have applied for the position, you have further questions; please contact Angie Butterwick at 517-483-1887.
