Coordinate spending on multiple accounts for the Division of Hematology & BMT and assist with ensuring that accounts stay within budget. Make procurement card purchases and maintain appropriate documentation as outlined in the university's policies and procedures. Edit pro-card transactions for other procurement card holders within the division, reviewing for accuracy ensuring appropriate documentation and filing of those charges. Prepare JV's, PRD's, Purchase Requisitions, RFP's, and travel vouchers and maintain appropriate filing of supporting documentation for each. Create statistical internal orders and run reports to track faculty PE allotment and special commitment budgets. Responsible for general department procurement and preferred methods of payments as outlined by the University's Purchasing Division. Serve as a point of contact for faculty and staff to interpret and understand procurement , travel reimbursement, and other financial policies outlined in the University's Business Procedures Manual and KMSF polices.
Clinical Faculty and APP Support:
Maintain and update Faculty CV's and upload all information periodically throughout the year into Digital Measures to assist with collection of information for faculty evaluations. Collect and compile faculty course evaluations. Record and keep a file of Faculty and APPs continuing education participation/credits. Maintain list of all faculty publications, abstracts, presentations etc. Assist faculty with completion of credentialing materials/applications and all supporting documentation. Compile faculty dossiers as needed. Maintain physicians' calendar and scheduling of events, meetings, etc. Assist faculty with completing absence records when planning to be away and communicating to the multiple groups impacted including clinic cancellation notifications. Coordinate meetings and assignments by Faculty member serving as Director of the Markey Cancer Center Clinical Research Program with respective staff.
Research Faculty Support:
Assist Faculty with collection of research materials as needed. Post information on end note and other databases as requested by faculty member. Research and retain journal articles, papers, etc. through Pub Med, web-science, Iliad, etc. Assist with updating and maintaining IRB paperwork as outlined by faculty member. Assist with data collection as needed. Assist staff with lab ordering and associated documentation.
General Administrative/Staff Support:
Coordinate travel arrangements for Faculty, APPs, laboratory staff, and BMT staff as needed. Assist with maintaining divisional filing. Coordinate calendars of availability to schedule meetings for various groups within the division. Maintain list of referring physicians and assist with bulk mailings of dictations to referring physicians. Assist with maintaining electronic filing and procedure updates on divisional Share Drives and Share-Point site. Serve as back-up to other administrative staff. Assist with fellowship interview visits, candidate tours, etc. as needed. Additional duties as assigned.
