Summary of Position with General Responsibilities:

Responsible for providing administrative support to the Vice President. Organizing the workload of the Vice President and managing multiple tasks simultaneously. This includes compilation and preparation of confidential information relative to business unit operations and future plans and interaction with key persons such as customers and corporate officers on behalf of the Vice President. This person will also take a leadership role, working closely with the administrative staff. In the absence of the Vice President, this person would be expected to make decisions with regard to requests, deadlines, follow-up issues, etc., performing stenographic and clerical functions with exceptional competence. It is expected that this individual will demonstrate and maintain a professional manner at all times as this is a highly visible position.

Essential Job Functions:
  • 1. Acts as a liaison between Managers and the Vice President, and between other functional departments (i.e., Finance, Sales, etc.). Ensures smooth flow of daily schedule for the Vice President while guaranteeing that each team member feels the Vice President is accessible and values the team's ability to function as a collective unit.
  • 2. Functions independently, making decisions and taking a leadership role in the absence of the Vice President with regard to requests, deadlines, follow-up issues, etc.
  • 3. Facilitates generation of team monthly status reports, coordinates travel and meeting arrangements. Attends meetings, when appropriate, for the purpose of job enrichment and to assist management with their duties/responsibilities.
  • 4. Maintains a monitoring system to track all expense activity and reconciles system with actual financial report provided by Finance to ascertain appropriate expenses are reported in individual department accounts properly. Provides monthly updates to managers and director to allow informed decision-making abilities with regard to financial spending. Ensures resources are spent in a cost-effective manner.
  • 5. Prepares and edits all correspondence, PowerPoint Presentations and reports for the Vice President, maintaining a high level of quality, accuracy, and confidentiality.
  • 6. Maintains all administrative support systems for the department. Provides assistance to the Vice President and department in accomplishing special projects assigned to area.
  • 7. Receives and reviews incoming correspondence and reports, exercising judgement and discretion in determining routing of such material and bringing important item(s) to the Vice President's attention.
  • 8. Collaborates with other support staff to provide uniform presentations. Acts as a liaison with other functional groups (i.e. Accounting, Regulatory, etc.) for managers in assisting with requests. Ensures that other functional group commitments are met and deliverables are received on time.
  • 9. Facilitates and/or performs basis analysis via spreadsheet software tools (i.e., Excel). Gathers and organizes data obtained from networked software systems.
Basic Qualifications:

Bachelor of Science degree or Bachelor of Arts degree preferred or comprabale years of experience.
Six to eight years of administrative experience with progressive job enrichment at the manager or director level. Supervisory experience a plus.
Ability to work independently and make independent decisions in all areas of job performance.
Expertise in MS Word, Excel, PowerPoint, Outlook, Adobe Acrobat.
Ability to supervise individuals, direct workday activities, assess job performance.
Ability to communicate with diverse and sometimes irate individuals and to handle calmly and efficiently situations ranging from routine to emergency.
Ability to maintain strict confidentiality, exercising discretion and independent judgment on matters of significance.
Requires exceptional competence performing stenographic, dictation, note taking and clerical functions.
Ability to multitask and handle multiple interruptions and adjustments to priorities throughout the day, including the ability to perform administrative work for a variety of people while organizing priorities and meeting deadlines.
Must have demonstrated through past job performance the ability to independently organize and administer office procedures and special projects without supervision under pressured circumstances.

Education and/or Experience:

  • Bachelor of Science degree or Bachelor of Arts degree preferred or comprabale years of experience.
