Job Summary/Basic Function
The senior administrative assistant for the department serves as the assistant to the Assistant Vice-Chancellor for K12 External Relations and is responsible for the administrative services of Community Campuses. The administrative assistant supervises and coordinates other support staff positions in the department.

Responsibilities: * Supervise all operations of the department office to create an efficient, welcoming environment for faculty, staff, students, and guests. * Assists in providing clerical and phone support for the Asst. Vice-Chancellor for K12 External Relations and Community Campuses administration. * Oversee the Asst. Vice-Chancellor calendar, appointments, committee work, and other meetings. * Provide sole office support as necessary, assist in providing administrative oversight of all department functions, coordination of secretarial work for department. * Prepare and submit for payment all adjunct faculty contracts, substitutes, and site and equipment leases. * Maintain departmental databases in Access and assist in data collection. * Use Banner to prepare semester course offerings and instructor assignments. * Prepare and submit orders in Higher Markets and monitor S&E budget. * Participate in department planning; attend regular department meetings to take notes for typing and distribution and pursue follow-ups when needed. * Track use and maintenance on all departmental copiers and printers and equipment. * Record Community Campuses instructor absences and direct information appropriately. * Produce reports as requested. All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA).
- Technical Certificate from a regionally accredited higher education institution. * High level of technical proficiency (including Word, Excel, Access, PowerPoint, Outlook, Publisher, Discoverer). * Proven track record of patience, diplomacy and confidentiality. * Superior oral and written communication skills. * Superior organizational skills. * The ability to work efficiently and effectively as a team member in a multi-tasking environment under potentially stressful conditions. * The ability to process verbal and numeric information accurately and quickly. * The ability to handle difficult situations to reach positive solutions. * The ability to complete tasks on own initiative. * The ability to move around freely in an office environment, reach into filing cabinets, operate office equipment and lift and move up to 30 pounds.
- Associate degree in Office Administration, Secretarial Science or a related field. * 3 years work experience in this field as an office manager with supervisory experience. * Experience with Internet Native Banner or other student information system. * Experience with Higher Markets or other purchasing system. * Experience working with Access database.
