Position Overview

This position supports the day-to-day administrative and communications coordination needs of the Fidelity Personal, Workplace and Institutional Services Communications & Events (PWIS C&E) group, specifically the Public Relations department.

The position plays a critical role in helping the department head and team leads to manage time-sensitive work that is both high-profile and sensitive in nature. Department activities have the ability to both positively and negatively impact the Fidelity brand. This candidate must be able to manage and multi-task on multiple short-turnaround requests, be knowledgeable about the firm and resourceful in his/her work approach.

Primary Responsibilities

Media Monitoring and Reporting

Contribute to media Share-of-Voice Reports (Quarterly and/or bi-annually for most businesses)

Conduct daily media monitoring and sharing of relevant industry coverage

Monitor coverage for issues and opportunities

Track editorial calendars and identify potential opportunities

Follow key reporters and topics

Prepare media coverage reports and distribute to executives

Measure campaigns (impressions, message penetrations, etc.)

Create and maintain media lists

Track media interviews

Materials Development

Assist with preparation of materials for media trainings and media tours

Drafting media briefing documents

This includes executive briefing books, assisting with final PowerPoint materials (adding graphics, logos, printing and binding) and acting as a liaison and point of contact between department members and the executive(s)

Communications Distribution

Organize conference calls for press announcements

Compile media lists and assist in the maintenance of a media database system

Liaise with vendor(s) for the electronic distribution of press releases and multi-media news releases

Help manage the eReview process (Fidelity's proprietary Legal review system) for all of the department's external communications materials

Team Support

Calendar management, organization of meetings

Prepare, process and track department expenses, invoices

Liaise with external vendors seeking to provide products and services to the department

Create and manage assembly of weekly, monthly and ad hoc communications reports for senior management

Qualifications

Education and Experience

BA or equivalent experience

Prior experience in an administrative/support role is helpful

Interest in communications, specifically public relations

Skills and Knowledge

Technology - Must have demonstrated proficiency in PowerPoint, Microsoft Outlook, Word and Excel. Additional skills in Factiva, Dow Jones and eReview will be required in the job, but candidates unfamiliar with these will be given training.

Communication - Very strong communication skills, both written and oral
