Innovative Diagnostic Imaging Medical Device company in Tustin, CA is seeking a Quote Specialists for their Business Operations Department. In this position, you will be responsible for the preparation of quotes and bids for Full Line and Ultrasound sales,which includes the performance of advanced clerical, confidential, and administrative assignments for Business Operations and Sales staff; Process purchase orders, quotes, bids, orders and orders revisions; Prepare order forms and order revisions as needed to book order; Prepare and route contracts and correspondences to the appropriate parties.
You will maintain constant communication with the sales organization regarding quote status, quote details and quote clarification; Ensure quotes prepared are approved by appropriate sales manager and conform to current product configurations; Maintain and track quotation files and/or contract files; Compile data needed from Oracle and Clarify for statistical reports, including quote activity; modality configurations and territory win/loss reports; utilize Quotation Assistant or online price book to prepare quote and bids; Other duties may include counseling the field in the correct use of the Quotation Assistant; providing guidance to lower level administrative assistants and assisting/coordinating projects.
AA or equivalent, BA preferred.
2+ years experience in administrative assistant or contract assistant position is preferred.
Ability to handle high-pressure environment.
Advanced computer skills, including: Windows, Word and Excel. Power Point, Access, Lotus Notes, Oracle, AMDOCS Clarify are desirable.
Ability to work under little or no direction.
Ability to use diplomacy and good judgment.
Excellent written and verbal skills.
Use of advanced technical and business vocabulary and a detailed knowledge of company operations, organizational policies, procedures and personnel.
