The major focus of this position will be to provide project and administrative support for project managers (PMs), scientists, and engineers in the Dedham office. The qualified individual will also perform supporting duties and act as a generalist for a combination of administrative tasks. These supporting duties include: prepare and produce deliverables and proposals, prepare project budgets and schedules, support the invoicing and accounts receivable process and provide back-up for receptionist.
Specific duties include and are not limited to:
o Providing project administrative support to PM's on all aspects of their projects daily
o Supporting and working with office administrative team to provide all support required for office and back up receptionist when needed
o Word processing, formatting, report proofing and editing, copying and binding documents, and database work
o Preparing, formatting, proofreading, finalizing and producing specifications, technical reports, presentations, proposals and qualification packages using Word, Excel and InDesign.
o Preparing outgoing mail and correspondence, including email, faxes, letters, transmittals and client invoices
o Providing confidential support services in the form of minute taking, memo generation, research, managing email, and other similar tasks of a highly confidential nature
o Organizing and maintaining a file system consistent with W&C standards
o Supporting PM's with invoicing, project budgets, project scheduling and filing
o Perform data entry and generate reports from Accounting and Client Information Management Software
o Utilizing the W&C Marketing/Accounting System (Deltek) to update and extract current employee resumes, qualifications, project/marketing descriptions, and project status information
o Working with PMs to prepare project write-ups/descriptions
o Ability to multi-task and meet project deadlines
o 5-10 years as a project or administrative professional
o Bachelor's Degree required
o Exceptional proficiency in MS Office
o Experience with Deltek a plus
o Excellent oral and written communication skills
o Ability to be proactive, assertive, and demonstrate proven initiative
o Must be detail-oriented and highly organized, with excellent time management skills
o Ability to use independent judgment surrounding internal and external client matters
o Ability to work well with others, showing flexibility and good listening skills
o Ability to work under pressure with competing demands for your time
o Experience in an engineering, consulting, or professional services environment a plus
o Experience with InDesign or similar software
