Office Assistants perform a variety of clerical support activities which may include: providing information and assistance to the public, preparing and processing forms and documents, maintaining records and files, and operating a multi-line phone system and a personal computer. Office Assistants may act as a lead to a work group and perform specialized duties for the specific department in which they work. Office Assistant vacancies occur regularly throughout the City of Tacoma and Tacoma Public Utilities.
Graduation from high school or equivalent and one year of clerical experience.
LICENSES, CERTIFICATES AND OTHER REQUIREMENTS
There may be instances where individual positions must have additional licenses or certification. It is the employer’s responsibility to ensure the appropriate licenses/certifications are obtained for each position.
Knowledge & Skills:
KNOWLEDGE OF: Modern office practices, procedures and equipment; Correct English usage, grammar, spelling, punctuation, and vocabulary; Proper telephone techniques and etiquette; Operation of a personal computer; Hard copy and electronic record-keeping and filing techniques; Standard computer software. SKILLS:
Learn the policies, procedures, activities and programs of assigned area quickly and accurately; Learn to interpret, apply and explain laws, codes, policies and procedures; Understand and work within scope of authority; Establish and maintain cooperative and effective working relationships with others; Meet schedules and time lines; Plan and organize work; Analyze situations quickly and adopt effective courses of action; Keyboard at 45 words per minute net from hard copy; Understand and follow oral and written directions; Perform basic mathematical calculations quickly and accurately; Oral and written communication skills; Interpersonal skills using tact, patience and courtesy.
