Purpose of position
Manages and coordinates activities of personnel involved in performing internal operations within a department.
Coordinates office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Prepares work schedules and assigns duties to operations personnel to ensure efficient operation of department. Directs employee training to improve efficiency and ensure conformance to standard procedures and practices. Conducts staff meetings of operations personnel, or confers with subordinate personnel to discuss operational problems or explain procedural changes or practices Supervises maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities.
Designs office work flow system and maximizes office productivity through proficient use of appropriate software applications and computer hardware options, assesses equipment, space, and staffing requirements. Researches and develops resources that create timely and efficient work flow, establishes uniform correspondence procedures and style practices, ensures procedure manuals are generated and maintained. Administers records management policies designed to facilitate effective and efficient handling of records, ensures compliance with policies, procedures, and practices for systematic retention, protection, retrieval, transfer, and disposal of records. Reviews records to ensure completeness, accuracy, and timeliness. Analyzes and resolves work problems_ implements measures to improve production methods and to motivate workers. Understands departments role in accomplishing the Universitys mission. Compiles and submits reports as required by management, state, local, and federal regulatory agencies. Acts as liaison between department and internal or external customers. Participates in various committees, professional trainings, industry conferences, and conventions. Complies with all State and University policies.
This position will oversee the registration component and specified program development and would be tasked to develop a clear training program that would increase the efficiency and customer service of this area as well as improve our professional image.
Bachelor's degree from four-year college or university within area of assigned responsibility; and three to five years related experience and training; or equivalent combination of education and experience. Knowledge of Information Technology within area of assigned responsibility preferred or the ability to learn. Occasional travel may be required.
Equivalent combination of relevant education and experience may be substituted as appropriate.
Professional Certifications, Licenses, or Registrations within area of assigned responsibility preferred. Bilingual preferred. Masters degree preferred.
